Overview of the Role:


Working alongside the design team involved in national infrastructure projects your role will be the day-to-day management of incoming and outgoing information and data related to the projects in line with our own QMS and ISO procedures.

Key duties & responsibilities

  • Process and control all project document types on a daytoday basis in an accurate and timely manner.
  • Ensure that quality documentation, such as documents, drawings, RFIs, and incoming/outgoing registers are maintained.
  • Interface and manage with file sharing systems such as Team Centre.
  • Ensure naming conventions are followed.
  • File documents as digital records and ensure appropriate storage.
  • Adhere to Bailey Partnership document lifecycle procedures and processes.
  • Create document templates.
  • Training document specialists and other employees on document systems.
  • Ensure workflows and processes are completed in accordance with BIM ISO 19650.
  • Log distributed documents.
  • Communicate changes to document control procedures or other relevant information to the project team in consultation with the Project Manager / Design Manager.
  • Assist in implementing new and improved Document Management systems and document management processes within the QMS System.
  • Train employees on the project documentation system, how to use and access the documents.
  • Maintain confidentiality of sensitive documentation within regulated or MOJ, MOD environments.
  • Track documents to maintain confidentiality.
  • Conduct periodic archiving.

Requirements:


  • Excellent communication and interpersonal skills.

  • Ability to follow procedures.
  • Excellent IT skills.
  • Ability to work independently.
  • Ability to engage and communicate effectively (written and verbal) with stakeholders at all levels.
  • Organisational and multitasking skills and be detail oriented and fastidious.
  • Strong MS Office Skillset ( BIM 360, SharePoint, Outlook, Word, MS Excel, PowerPoint, AutoCad Viewers).
  • Document Control Management systems experience, especially and specifically BIM 360,TeamCentre, ACC or relevant experience with Bentley, ASite is an advantage.
