Role Overview:
In the role of Property Services Administrator, you will be a key contributor to the Operations Team, ensuring the efficient, cost-effective, and smooth operation of our property services and building management.
The role requires a thorough understanding of the department's functions, enabling you to adeptly manage daily tasks and contribute to our team's success.
Collaboration across various departments within our organisation will be a significant aspect of your role.You'll be responsible for sustaining strong relationships with suppliers, landlords, and managing agents, as well as develop new relationships with external contractors.
Reporting To;
Head Of Operations
Key Responsibilities
- Uphold and enforce policies and procedures for the effective management and maintenance of properties.
- Coordinate and assist in repair, maintenance, redecoration, and improvement as required.
- Oversee the daytoday efficiency of the property service team, ensuring tasks are completed in order of priority.
- Communicate with contractors, guests, bookers, and relevant parties to coordinate necessary visits and access, maintaining compliance with Health & Safety standards.
- Secure necessary authorisation for all maintenance and repair works.
- Process and manage purchase orders and schedules for required works, keeping all relevant parties informed.
- Support the Guest Experience Team and Housekeeping to ensure high standards of customer service are consistently met.
- Accurately create and manage inventory checks using company templates, including photographic documentation.
- Assist the Head of Operations in the planned preventative maintenance programme, ensuring our apartments are in prime condition for guests.
- Adhere to Service Level Agreement (SLA) response times for various operational tasks.
- Efficiently handling phone communications and manage the Property Services inbox, prioritising tasks and responding professionally within set SLA timeframes.

Offer & Benefits:
- Salary range £26,000£30,000 depending on experience.
- Annual holiday entitlement of 20 days plus bank holidays, with an additional day added after 2 years of service, up to a maximum of 25 days.
- Eligible for company pension scheme after 3 months service
- Working hours Mon-Fri 9 am 6 pm
