My client are a successful pharmaceutical organisation looking for a Spanish and German speaking Client Service Operations Specialist to join their team on a 12 month fixed term contract, with a view to going permanent.


ROLE PURPOSE

  • Active management of several client accounts within a specific region, including set up and amendment of master data, processing orders, shipments, complaints and queries
  • Support where necessary in other regions, with handson management of customer purchase orders, orders, tracking, invoicing, filing and answering general order related customer queries
  • Active liaison with other departments within the business including, but not limited to Sales and Logistics, with a view to sharing customer information and facilitating best practice across the business
  • Proactive Interaction with both external and internal customers/clients via a variety of mediums
  • Actively participate in cross functional initiatives and meetings, to understand additional customer and business needs
  • Storage and organisation of data related to the role, in line with agreed guidelines, to ensure compliance and accuracy

Key Activities / Decision Areas

  • Set up new client records in the ERP system in line with quality and regulatory guidelines, ensuring accuracy and completeness, prior to order placement
  • Process billing documents ensuring accuracy with customer purchase order and where applicable with customer contracts
  • Archive order and delivery documents in line with quality procedures
  • Maintain a solid level of understanding about the products and their uses
  • Work with Logistics to proactively manage the supply of products
  • Actively monitor shipment of client product and ensure appropriate client communication throughout the order fulfilment process
  • Raise client credits via the approved process of authorisation
  • Log all customer complaints in line with quality and regulatory guidelines
  • Understand policies around order management and customer inquiries processes, and execute in compliance with Global distribution Practices (GDP)
  • Liaise with clinical and commercial teams to understand order requirements for new product launches and special orders (e.g. clinical trials, free goods)
  • Maintain valid Purchasing Verification (PV) Forms in the Quality Management System
  • Knowledge of import and export taxes and associated process, in relation to relevant countries

Technical / Professional Expertise

  • Experience of export in either a customer service or logistics background is preferred
  • Background in Proficiency in the use of ERP systems for customer master data and order entry
  • Competent in the use of Microsoft Office tools
  • Working knowledge of Quality Management Systems and their function and usage in a regulated environment
  • Business knowledge in relation to finance and distribution process and how this relates to CS
  • Fluent, written and spoken in English, German and Spanish. Additional fluency in at least one other European language would be useful
