Job Title
HR Coordinator (Maternity Cover)

Contract & Salary
1-year Maternity cover: Full-time,
All Year Round: 37.5 hours per week, Monday to Friday.

£27,000 salary P/A.


Purpose of the Role
To provide a proactive, effective and efficient HR support service to the whole School.

Working in a busy team supporting all aspects of the HR Department's operations and general functions, through the HR life cycle.


Key Duties and Responsibilities

General

  • Assist with day to day recruitment, as required
  • Audit new starter files, ensuring full compliance prior to start date
  • Oversee Induction
  • Assist with HR projects, including the pending systems project
  • Organise Pension consultations for teaching staff, as required
  • Compile Contract variations, including the drafting of letters and new terms & conditions
  • Assist with salary letters e.g. NMW/NLW and the annual pay review
  • Execute the Variations and Leaver processes
  • Undertake Exit interviews, as required
  • Maintain the HR database ensuring data integrity; to include but not limited to: variations, leavers, training, absence etc.
  • Maintain HR filing systems
  • Maintain the HR trackers
  • Liaise with Payroll, as required
  • Deal with daytoday HR queries
  • Check and respond to queries in the mailboxes
  • Oversee the update of the staff handbook and/or pages on the HR Hub (Firefly)
  • Assist with recruitment strategies and metrics
  • Assist with turnover and retention strategies and metrics
  • Assist managers with sickness absence management, including the recording of absence, liaison with Payroll, and OH referral
  • Assist managers with family friendly queries e.g. Maternity and Paternity
  • Contribute to HR process improvement
  • Provide reports to the Head of HR and HR & Project Advisor as required
  • Engage in appropriate continuous professional development and keep abreast of legislative changes and developments in HR and Employment
  • Attend and contribute to Team meetings

Training

  • Coordinate the Schoolwide mandatory training and internal compliance training, ensuring that appropriate action is taken with regards to staff
  • Source and book training and development courses, and carry out associated administration, as required
  • Ensure up to date training data is available
  • Ensure training data is input into the HR database, and certificates/qualifications saved to file

Performance Management

  • Track the probationary period milestone meetings for new staff, within your area, sending reminders to managers and tracking responses
  • Confirm probationary outcomes to staff within your area, and update staff records on PASS
  • Offer support and advice to managers in instances of probationary periods being extended or curtailed, in conjunction with the Head of HR or HR & Project Advisor
  • Offer support and advice to managers regarding appraisals, including the tracking of appraisals for your area
  • Provide management information to the Head of HR on probationary reviews and appraisals for your area

Employee Relations

  • Answer queries on first line employee relations including sickness absence, conduct, grievance and capability with support from the Head of HR or HR & Project Advisor
  • Provide advice and guidance to staff on HR policies and procedures
  • Ensure managers are prepared for any formal investigation process, in conjunction with the Head of HR and/or the HR & Project Advisor
  • Ensure accurate records and notes are maintained, and appropriate followup correspondence is sent to the staff member as requested

General Responsibilities

  • Work effectively as a member of the HR team, communicating information efficiently and effectively to team members as required

Person Specification

QUALIFICATIONS

  • Level 3 qualifications, including GCSE and English, or above at GCSE
  • CIPD Level 3 or similar desirable

EXPERIENCE

  • Demonstrable experience of working in a HR function, in a large, fast paced organisation
  • Solid experience of transactional HR processes
  • Good working knowledge and understanding of HR administration practices
  • Good working knowledge and awareness of the importance of confidentiality and data protection
  • Experience of working with HR, Recruitment and Training databases and providers
  • Experience of providing low level ER advice to managers, and responding to day to day staff queries
  • Experience of working in a school
  • Experience of assisting with the implementation of new
