Projects Administrator

Hours of Work: 9:00am-5:30pm

Location:
Stoke Prior, Bromsgrove. Office Based


Salary:
£23k


Company Information:

The client is an established company within the Build Sector, dealing with Design, Planning and Construction of projects. They have worked within the commercial, medical and industrial sector, providing exceptional fit outs.


The Role:

Undertake project and procurement administration

  • Assist with completion and return of new client Pre-Quotation Questionnaires.
  • Obtain quotations from suppliers, liaising with Contracts Managers and Site Managers.
  • Raise Purchase Orders. Ensure materials are delivered timely and purchased cost effectively, highlighting any issues.
  • Maintain the plant hire log and issue to staff on a weekly basis.
  • Supporting Contracts Manager and Directors with Ad Hoc administration.
  • Create project template files. Move files into tender and archive when necessary.
  • Update Projects Board with correct and up to date information.
  • Compile O&M Manuals, ensuring deadlines are met, given by the Contracts Manager.
  • Create H&S files and site boxes as required, prior to project start dates.
  • Collate credit card receipts and post to Sage.
  • Maintain the approved Suppliers and Subcontractors schedule, issue packs to prospective Suppliers. Update insurance documents as required.

Provide administrative support to the Estimating Department ensuring established procedures are followed for requesting and recording quotations.

  • Undertake send outs to subcontractors provided by the Estimating Department, follow up responses as required.

Be responsible for the administration of the annual accreditations, undertaking compliance tasks on a monthly basis.

  • Quality (ISO 9001) Accreditation
  • Safecontractor Accreditation

Contribute to the administration of the wider office.

  • Undertake reception duties
- open post, answer the telephone promptly, take messages and greet any visitors.

  • Book staff training and hotel accommodation.
  • Maintain office supplies of stationary.
  • Maintain records of company vehicles and liaise with staff to ensure vehicles are booked in for services. Administer congestion zone/ clean air zone charges.
  • Arrange, attend and contribute to meetings, take minutes.
  • Manage Sharepoint files, ensure documents are saved, in correct folders.

£23,000.00 per year

  • Bromsgrove, Worcestershire: reliably commute or plan to relocate before starting work (required)

Experience:

Project Administration: 1 year (preferred)

  • Administrative: 2 years (preferred)
