We have an ambitious 18 months ahead of us which will see us implementing and transitioning to SAP S4 and BW4 on a cloud-based platform.
As a part of Digital Directorate, the SAP Business Solutions Team, is responsible for the management and control of all SAP Finance, HR and Commercial changes and implementations across the organisation.

Job description:
- Organise and quality check the creation of all weekly and periodic reports for senior management and stakeholders
- Manage the process to ensure that the correct Programme Board and Steering Group papers are produced to the required quality level and are issued in a timely manner
- Ensure all Project Board and Steering Group governance meeting actions are recorded and followed up
- Define and organise the onboarding process for project team members, including mandatory training, project overview and team structure, access to project systems and SharePoint sites, as well as introductions.
- Understand the project documents and deliverables which will be produced
- In conjunction with the workstream leads, ensure that there is clear folder structure for all project documents
- Manage the timesheets for team members, contractors and SIs
- Support the Project Manager to:
- Manage the project team activities to support the Programme Board (PB) and Steering Group (SG) governance timetable, including attendees, topics for the agendas, production of papers and recording minutes
- Understand the project deliverable and milestones and track these against the plan
- Track the Service Integrator (SI) deliverables against the SI contractual milestones and recommend confirming / delaying milestone payments
- Track project costs against the budget
- Provide support for the recruitment process where required
- Organise knowledge transfer and SAP technical training for new project team members as required
- Support the Delivery Manager to:
- Maintain the integrity of the project plan
- Record and follow up risks, issues, actions, decisions and dependencies in the RAID log
- Track the creation of documents and deliverables according to the plan
- Arrange workshops and meetings with SMEs and others and manage meeting invitations, meeting rooms and remote access
- Ensure meeting materials are sent to the workshop and meeting attendees in a timely manner
- Arrange and facilitate the internal Project Workstream governance process for decision making, including meetings, invitations, agendas and minutes
- Arrange periodic team meetings, including standups, workstream progress meetings and risk and issue reviews
- Coordinate the production of the weekly workstream progress reports
- Support the Technical Change Lead by:
- Maintaining the Change Request tracker, adding new changes and updating the status of those in flight
- Monitoring the change request mailbox
- Organising and inviting required attendees to change review meetings
- Facilitating biweekly meetings between change owners and the technical team
Person specification:
Essential Criteria
- Strong digital IT, SAP ERP or other Project/Programme management experience
- Comprehensive understanding of, or proficient use of, project and programme best practice/methodologies e.g., Agile / PRINCE / Activate
- IT proficient with the proven ability to work at pace within a technical environment with highly experienced IT professionals in either a leadership and/or supporting capacity
- Strong writing, decision making, communication, and meeting facilitation skills with experience of managing meetings and workshops and coordinating outputs
- Confident working closely with a wide range of stakeholders including Senior stakeholders, end users of all abilities, Process Owners, DLUHC's ALBs, other Government Departments and suppliers
- Ability to collate and organise a wide variety of information from different sources
- Highly organised with the ability to work
