Jackson Hogg is excited to be supporting a well established Manufacturing company in their search for a Document Controller.

Title:
Document Controller


Reports to:
QHSE Manager


Purpose:

To accurately manage and safeguard documentation generated by the project/Production teams/operations, contractors and suppliers in support of the day-to-day operations, in a manner that will enable all relevant parties to quickly retrieve them as well as efficient, effective & timely compilation of customer MRBs.

Strong working relationships with other key stakeholders including QHSE, Operations, Engineering, Supply Chain Team, and others as required.


Key responsibilities include, but are not limited to:

Day to Day operations


Work in co-operation with the Project Manager or relevant internal contacts to gauge project progress status, ensuring accurate compilation in conjunction with manufacture & Customer requirements.


Principal responsibilities

  • Control all aspects of project documentation on multiple simultaneous projects, utilizing various control methods/systems
  • Ensure proper document control support is given to each project
  • Produce and maintain Document Progress Reports to the Quality/Project Manager.
  • Ensure all documentation provided is as per Client quality formatting requirements. Formatting may include correcting templates, fonts and style, pagination and numbering and other activities that may be required to achieve a client's documentation requirements.
  • Create Document Control and correspondence folders for individual projects
  • Manufacturing Record Books (MRB).
  • Work in cooperation with the Project Manager or relevant internal contact to gauge project progress status, ensuring compilation of the MRB in conjunction with manufacture.
  • Continuously participate in the development of skill levels and knowledge across a wide range of activities within the business with a view to improving personal ability and flexibility and therefore business performance.
  • Continuously develop MRB process from upfront reviews, accurate & efficient through manufacture collation and end MRB deliverables.
  • Support the QHSE Manager with continuous improvement of the companies QHSE management programme and systems.
  • Ensure that the company policies, procedures and rules are always adhered to.
  • Work to and within established systems and procedures but contribute to their ongoing development and improvement.
  • To provide information for the monthly QHSE communication process so that the QHSE Manager can ensure all levels of staff receive feedback of issues impacting the QHSE performance of the company including written information, toolbox talks and management briefs.
  • To support the QHSE Manager in retaining and adherence of all current quality accreditations and work towards the attainment of new quality accreditations, including but not limited to ISO 9001, ISO14001 and OHSAS45001, ISO3834 Part 2 & other certifications.
  • Support preparations for annual compliance audits to maintain certification, including nonconformances from previous audits are closed out and containment and corrective actions are implemented as required carrying out internal audits as requested.
  • Generate a suite of KPIs to monitors performance e.g OTIF for MRBs
  • Support manufacturing to meet customer requirements and improve processes.
  • Supports customer service meetings or engaging customers directly if required.
  • Helps drive a safety and quality first culture.
  • Undertake other additional duties as may be reasonably necessary related to the role.

Qualifications, Skills and Experience

Desirable:


  • Experienced in MRB collation for Defence / Oil & Gas
  • Practical / handson experience in document management roles, preferably in an engineering environment
  • Basic understanding of engineering and related documentation
  • Knowledge and experience of quality management systems & requirements
  • Excellent people and organisational skills.
  • The ability to manage time and prioritise tasks effectively, working to tight deadlines.
  • Excellent IT and communication skills
  • Strong team player
  • Highly proficient using MS Office, in particular Excel.
