Qualifications
Essential
- Must have proven administrative skills with a minimum of two years' administrative experience.
- Must have excellent organisational abilities, a mature outlook, and a professional and confident attitude and be accustomed to dealing with strictly confidential material.
- Must have good interpersonal and communication skills to be able to work and liaise with people at all levels.
- Qualifications: must be computer literate and be competent in word processing. Knowledge of Word, Outlook and Microsoft Office Excel is essential.
Desirable
- Accounting experience would be preferable.
- Microsoft Office Powerpoint.
- Microsoft Office Excel.
- Previous _medical_ admistrative experience preferred, but not essential.

- Administrator/Lead Director
- All service contractors
Responsibilities
- To manage the Appointments System and liaise with clients and physiotherapists concerning the making of appointments.
- To welcome clients attending for appointments.
- To setup and prepare treatment rooms for the physiotherapists, and to check after use, tidying up, restocking and checking equipment as necessary. Ordering supplies when required.
- To enter data onto computer relevant to clients, appointments, treatments, invoicing and payments.
- Ensuring the filing is uptodate.
- Typing letters and other office administration documentation as required.
- To examine incoming correspondence and other documentation, and either act upon it as required, or pass it to the appropriate member staff for attention.
- To check the answerphone at regular intervals and ensure that appropriate action is taken concerning messages received.
- To process electronic payments (VISA etc) as required.
- To maintain manual and/or computerised accounting records.
- To check, verify and process invoices promptly on receipt.
- To send out invoices regularly and on time.
- Check that payments for invoices are received, and to send out reminders as necessary.
- To collate and record management information as required.
- Liaising with Private Companies and Contracted Occupational Health Departments/Management and providing relevant reports.
- To carry out such additional administrative tasks as may from time to time be required by the Directors or Physiotherapists.
Competencies
- Be required to offer a high quality and professional service to all service customers.
- Be able to operate independently but within predetermined guidelines and protocols within BAP.
- Must be able to demonstrate a high degree of discretion and sensitivity whilst maintaining confidentiality and service integrity.
- To provide a confidential administrative support service to the Physiotherapists.
- Liaise with clients and provide them with appropriate administration support and information as requested.
- Manage business accounts. Process invoices and associated paperwork.
Working Relationships
The post holder will be required to:
- Work with management and employees, at all levels, throughout the Business.
- Establish and build close working relationships with outside agencies and service providers.
Responsibilities:
- Greet and welcome visitors in a professional manner.
- Answer incoming calls and direct them to the appropriate personnel.
- Manage the reception area and ensure it is kept clean and tidy.
- Schedule appointments and manage calendars.
- Provide administrative support to staff members.
- Maintain an accurate filing system.
- Assist with other office duties as required.

£10.00-£11.00 per hour
