1. General
Attend the reception desk and closely monitor all persons entering and leaving the Building. Politely challenge any suspicious persons. Keep a logbook to record all events. Check that all deliveries are distributed or stored safely as appropriate. Know the Building, understand the services, be aware of tenant's rights and establish good liaison with each of them. Ensure that the Building functions smoothly with forward planning to forestall problems or misunderstandings. All incidents are to be reported to the managing agents.

Be cheerful and friendly at all times, properly dressed, clean and tidy. Always stand to greet residents and visitors.

Open and close the entrance doors for residents and offer assistance, carry shopping etc, to the lifts.

Call Taxi's for the residents or their visitors as may be requested.


Observe the garage - be ready to open the gate at all times for contractors and residents to avoid keeping them waiting.


At the times of shift change over porters are required to pass onto their colleagues details of any ongoing incidents or 2 messages or requirements left by a resident and to enter into the diary any useful information e.g.

the arrival and departure of residents, contractors, etc


Ensure that the Main and street entrances and basement wells are kept clean and free of litter and check the garage ramp from time to time during your shift for litter being blow in from the street.


During summer months day porters are to water the garden every morning and night porters after the sun has gone down.


Complete a security check of the inside and outside of the building before and after rest breaks and otherwise at least every four hours and ensure in particular that the entrance doors are locked when you enter and leave the building.

At the same time collect any refuse that may have been left out by residents.

During the course of your shift check all light fittings throughout the common parts and replace any blown bulbs.

All porters are expected to cover for each other for holiday leave. When this is not possible the House Manager will arrange temporary porters.


The residents of the building expect a very high standard of service from the staff and the porters should ensure that in their manner, performance and general conduct that this is achieved.

Monitor the CCTV visual display units on a continuous basis. Investigate any unusual circumstances and call for assistance of the Building Manager or if appropriate the police. Report any incident immediately to the managing agents.

Ensure that the CCTV recording equipment is operational and report any defects to the Building Manager at the first opportunity.


Building Security
Any loss of keys must be reported to the managing agents.

Whenever possible a coded system is to be used on key labels in order that their identity is not known to unauthorised users.

Keys must not be lent out to unauthorised persons.

During the course of each day's routine you will check all doors to see that they are secure. All fire exit or protected route doors are to be checked to ensure that they are in working order. Any defect is to be reported.


Supplies and Materials


Ensure that no materials are stored in the common parts of the Building, plant rooms, tank rooms or mains intake rooms or meter cupboards.


Fire Precautions and Means
of Escape


You are to familiarise yourself with the Fire Safety requirements and ensure that escape routes are kept clear at all times.

At least once during your shift all fire escape routes are to be checked including the lighting thereof.

All fire extinguishers, and fire fighting equipment is in place and available for use at the designated locations. Fire extinguishers are not to be used to prop open doors.

Doors on a protected fire escape route are self-closing and not to be wedged open or secured in the open position.


Cleaning


Support the Building Manager or the Managing Agents to ensure that all of the common part areas are kept clean at all times to the highest standard in line with the residents' requirements and to comply with instructions both from the Managing Agents and the Building Manager.

The Building Manager will advise on the cleaning routine required.


You are required to report directly to the Building Manager on a daily basis to ascertain if there are any specific cleaning requirements within and around the Building as well as the Car Garage.


Your duties may vary to include additional cleaning of the entrances, lifts and the like which may require attention more than once a day or other areas within the confines of the building which may be identified.
