We are currently looking to recruit an Estates Coordinator to provide support across the Team for all managed site leases and tenants.
Your Main responsibilities
- Supporting Estates Manager and Head of Logistics and Property
- Maintaining all records on Hi Q, managing and coordinating the leases, tenants and estate whilst working alongside the Estates Manager
- Maintaining all records on teams including holiday charts for the Property Team
- Liaising with Landlords as directed
- Supporting National Maintenance Manager to ensure all relevant services, certificates and schedules on corporate stores and residential properties are updated on Hi Q
- Creating purchase orders for all property related matters and maintained on Tracker. This includes all bulk purchase orders to cover maintenance and ad hoc work for the estate to enable the team to control maintenance work to the estate
- Liaising with Finance Team to ensure all relevant Invoices are paid on time
- Manage and maintain the Residential portfolio. Liaising with external Agents, updating tenant information onto HighQ, AST and reviews, liaising with tenants when required and delegating work to the Maintenance Manager when needed
- DSE assessor, pregnancy assessments managed and QAA medicine for in house. Arranging and managing in house training with external providers
- Coordinating and assisting compliance with audit inspections
About You
- Previous experience in a similar role is essential
- Demonstrable track record of developing and maintaining strong professional relationships at all levels
- Evidence of success in influencing, leading, supporting and motivating stakeholders to achieve agreed outcome
- Strong analysis and problems solving skills with excellent attention to detail and a willingness to challenge
- Experience of using financial systems and automation to improve operational efficiencies such as ordering systems and software for property management as examples
- Excellent communication and interpersonal skills are essential
- Ability to manage own workload and prioritise effectively to meet tight deadlines
