Reception Coordinator

Initial contract 6-9 months, with the possibility of a permanent contract in due course.
We are a busy Doctors Surgery in the heart of Chesterton. We support 14,000 patients.

We are looking for a Receptionist / Administrator to join our busy reception team.
You will join a friendly, supportive team, who work hard to give our patients great service and support.

All of our receptionists are committed to their role and passionate about working for the NHS and serving our local community of patients.


As a Receptionist / Administrator you will be the first point of contact for patients both face to face and on the phone dealing with queries and making appointments.

You will also be a point of contact for staff, healthcare professionals and outside agencies.

You do not need to have experience in the NHS or other Doctor's surgery to apply.

The main duties and responsibilities are:

  • To provide an effective and efficient reception services (telephone, face to face and via our online systems) to our patients
  • Processing telephone requests, in person requests and online requests for appointments, visits and telephone consultations and ensuring callers are directed to the appropriate healthcare professional
  • Deal with all general enquiries efficiently and courteously and explain procedures and make new and follow-up appointments
  • Take messages, ensuring accuracy of detail and prompt appropriate delivery.
  • To administer the appointment booking system.
  • To answer patient enquiries with the support of other practice staff as necessary.
  • To do administration tasks to support the reception work

This may include:
processing new patient registrations, running reports and booking patients in to clinics, maintaining work lists and using our online systems to deal with patient enquiries


  • To ensure the practice is open and ready for patients at the start of day and in at the end of day the practice is closed in line with security processes.
  • To be aware of the responsibility of all employees to maintain a safe and healthy environment for patients, visitors and staff
  • To ensure that all duties are carried out to the highest possible standard and in accordance with any current quality initiatives and procedures
  • Any other duties as required from time to time. Due to the nature of working a busy medical practice, flexibility is required. There will be times that you are asked at short notice to do additional hours to help deliver our service to patients.

They may also have access to information relating to the Practice as a business organisation. All such information from any source is to be regarded as strictly confidential.


Personal Attributes
Be interested in people's health and care and have a supportive / empathetic approach

Have strong communication skills, including clear speech and a professional telephone manner

Have a polite, friendly, efficient and helpful attitude towards all - patients, medical centre team and people who are in contact with the surgery

You will have a calm, reassuring approach but be able to be politely assertive when needed. Being self-aware about how your behaviour affects others is important.


Be a team player and take a collaborative approach to identify and put in place improvements the service we provide.

Continuous learning is important and having a flexible approach is essential.

Good computer skills including Microsoft Packages.
