Job Role
You will support the Head of Localities and the Community Neighbourhood Team with a range of duties, which require strong organisational, communication and inter personal skills in order to provide an effective and efficient service our residents.
Key duties
- Assist with the Duty Telephone Rota, as and when required.
- Carry out mail merges for the team.
- Raise purchase orders and special payment requests.
- Undertake site visits and spot checks, if required
- Carry out Customer Satisfaction calls and record outcomes.
- Assist the team with managing Guardcam installations and queries
- Manage the waiting list and servicing of the Noise Monitoring Equipment and Noise App Case records
- Assist the team with providing data for Subject Access Requests
- Arrange meetings on behalf of the team & take accurate minutes of meetings.
- Attend community events on behalf of the Team, as and when required.
- To undertake any further suitable work as required by the Head of Localities
Mutual Exchanges - enabling tenants to swap their home
- Assist the team in processing Mutual Exchanges in accordance with Soha's policies and procedures and current legislation.
- Process mutual exchanges on Soha's internal systems
- Provide references to external landlords.
- Arrange the relevant safety checks to be undertaken.
- Respond to queries from applicants, keeping them informed of the process.
Garage Management
- Set up and manage effective and accurate systems for Soha's garage waiting list and let all void garages promptly and in line with Soha procedures.
- Review and manage garage rent arrears and action Notice to Quit
- Effectively manage any repair and void works which may be required
- Work with the Development Team on any redevelopment projects
What you will need
- Previous relevant experience and a commitment to working with people
- Experience of working in a busy environment
- Experience of dealing with customer enquiries and responding with accurate information
- Excellent administrative, organisation and interpersonal skills, particularly with residents who may be vulnerable or anxious
- Experience of working with external agencies and contractors
- A positive approach to dealing with challenges and complaints
- Ability to deal with challenging customers
- Experience of using QL / similar housing or CRM systems essential.
