Description

Harmeny Education Trust is a sector-leading children's charity providing therapeutic care and education for children with complex additional support needs.

Situated in a beautiful 35-acre woodland estate in Balerno, on the outskirts of Edinburgh; we areeasily accessible by bus and there is ample parking.

We work with children aged 5 to 18, both on a day and all-year-round residential basis, referred by local authorities throughout Scotland.

Key Responsibilities

  • Provide an efficient, confidential and professional administrative support service for the Senior Management Team (SMT) and primarily the Chief Executive, including diary and workload planning, supporting Board of Trustee and SMT meetings, and liaison withinternal and external stakeholders.
  • Carrying out research and writing quality reports in order to support a range of business activities and developments, and ensure ongoing compliance.

Diary and Workload Planning

  • Effectively and strategically forward planning the Chief Executive's diary, taking into account current and forward priorities, and provide diary management support to other members of SMT.
  • Arrange and coordinate appointments and meetings for the Chief Executive and SMT, providing weekly schedules, and keeping him well informed of upcoming commitments and responsibilities, following up as appropriate.
  • Research, prioritise, and follow up on incoming issues and concerns addressed to the Chief Executive, including those of a sensitive or confidential nature, determining appropriate courses of action, referral, or response.
  • Plan and arrange Board, Board Sub-Committee and SMT meetings, including preparation of papers, presentations, minutetaking, communicating with attendees, advising on logistics, arranging IT and catering, and following up on actions.
  • Work alongside the Heads of Finance & HR regarding the administrative support required for the Board of Trustees, including distribution of papers, provision of accurate and timely minutes at Board meetings, and administration of expense claims.
  • Make all logístical and travel arrangements for the Chief Executive and SMT.
  • Support the development and maintenance of relationships with relevant external stakeholders, in conjunction with the Chief Executive and SMT.
  • Prepare correspondence and other documentation as requested by the Chief Executive and SMT, including presentations, reports and spreadsheets.
  • Communicate with managers and staff regarding project, report and other deadlines.
  • Provide a fully confidential and efficient filing system for the Chief Executive.

Research and Information Management

  • Undertake research and provide background briefings, reports, consultation and policy documents for SMT and the Board.
  • Monitor policy, legislative and other developments relevant to professional regulation, governance and the work of Harmeny, and identify any implications for the organisation.
  • Gather information and prepare responses to external consultations.
  • Coordinate the evaluation and reporting of children's and organsational outcomes, including the production of reports using Harmeny's Outcomes Framework and Annual Data Analysis system.
  • Manage and work independently on projects within agreed deadlines.
Qualifications, Skills, Knowledge and Experience


Essential

  • A relevant administrative qualification, or equivalent professional experience.
  • Substantial experience of supporting a senior management team in an Executive Assistant or Senior PA role within a busy working environment, including diary management.
  • Excellent administration and IT skills, including Microsoft Office and videoconferencing.
  • Experience of providing administrative support to meetings, including preparation of agendas and papers, taking minutes, and following up on actions.
  • Excellent written and verbal English, with experience of researching and writing accessible, clear reports, policy documents and briefings for a range of audiences, with attention to detail.
  • Excellent organisational and time management skills, with experience of managing a busy and competing workload effectively and autonomously.
  • Experience of working independently on projects, from conception to completion, within agreed deadlines.

Desirable

  • Experience of working within care, education, or a multidisciplinary setting in the third sector.
  • Knowledge and understanding of children with complex additional support needs.
