Description
An experienced Safety & Facilities Manager is required for an established, dual site Creative Agency in London.
This is a new role, and the person will be working closely with the Head of IT & Operations, HR, and
managing dual-sites, one in Shoreditch and one in the London Bridge area
The role is part time and permanent and will be office based (Monday - Wednesday)

We require an individual with very strong experience in building operations, H&S, Fire Risk, and building safety / facilities management.


Operations Management:

  • Main point of contact for all operations, facilities management, and maintenance for both buildings.
  • Undertake and coordinate building safety requirements including fire, Health & Safety, and
evacuation training and procedures.

  • Coordinate with suppliers and services providers for all reactive and proactive building maintenance
responsibilities and office equipment.

  • Work closely with IT & HR in relation to communication, security, workstation, and office equipment
systems.

  • Supporting HR with the roll out and completion of mandatory fire and H&S safety training

Health & Safety:

  • Ensuring Health and Safety compliance across both sites.
  • Oversee instruction of relevant risk assessments for each area and ensure site and employee's
complete actions (including quoting and instructing remediations if required) within required time
frame.

  • Conduct periodic site inspections to ensure buildings remain compliant in terms of health and
safety requirements and are in line with reporting from site staff.

  • Supporting, guiding, and advising employees at all levels of the organisation
  • Delivering reports to the board of directors
  • Developing, maintaining, and reviewing robust H&S management systems

Fire Safety & Fire Risk:

  • Liaising with our Fire Risk Assessment providers on an annual basis for both office sites to carry out
assessments.

  • Oversee instruction of relevant risk assessments for each area and ensure site and employee's
complete actions within required time frame.

  • Carrying out the correct remedial actions based on the reports to ensure FR compliance, through
contractors and our maintenance clients.

  • Managing fire training to ensure all employees are trained correctly.
  • Ensuring the office sites are fully compliant in relation to fire risk.
  • Testing of fire alarms and managing the logbook.
  • Making sure everyone can evacuate the building in a safe and timely manner. Monitoring fire safety through frequent visual checks of fire escape routes, fire exit and final fire
exit door sets for obstructions, defects, signage, and operational conditions.

  • Monitoring areas, with frequent visual checks on fire equipment
  • Assisting in devising a Fire Emergency plan
  • Giving fire briefings to occupants to ensure everyone understands what to do in the event of a fire,
fire safety action instructions, and familiarisation with fire escape routes and assembly points.

  • Reporting faults and unsafe practices
Company Level Compliance

  • Review and update compliance policies, procedures, in line with regulatory and legislative updates.
  • Stay informed on health safety best practice guidance, updates and legislative changes and work
with HR to arrange relevant H&S training sessions for site-based staff.

  • Ensure sitebased staff have had adequate H&S training and are competent to complete work
assigned and continually improve standards of H&S within business.

  • Stay informed on leasing legislative changes and updates and update internal procedures and
workflows in relation to this or liaise with relevant department to ensure company is prepared and
compliance with such legislation (i.e. Building Safety Bill)

  • Implement, monitor, and review policies and procedures relating to contractor H&S conduct on
site and work with Procurement to update Contractor due diligence requirements in relation to
this.

Experience - essential / required:

  • 5+ years in H&S, Fire Safety, and Building Safety / or Facilities Management
  • Able to show an understanding of and commitment to improving health and safety standards in
commercial buildings.

  • Experience in managing H&S within commercial buildings especially fire safety.
  • Working with employees to implement and maintain new processes and methods of working
  • NEBOSH or similar/equivalent Health & safety qualification.
  • Able to show an understanding of and commitment to property services and managing Client and
Customer relationships.
Skills and Knowledge - essential / required

  • Able to communicate effectively and clearly in writing and verbally, including drafting
correspondence and documents.
