The Maintenance Administrator will be responsible for overseeing administrative tasks related to the maintenance department.

This role involves managing schedules, communicating with maintenance staff, maintaining records, and ensuring that all maintenance activities are carried out efficiently and effectively.

The Maintenance Administrator will play a crucial role in ensuring that the organization's facilities are well-maintained and operational.


Responsibilities:


  • Schedule and coordinate maintenance activities, including preventive maintenance, repairs, and inspections.
  • Communicate with maintenance technicians to assign tasks and ensure timely completion of work orders.
  • Maintain accurate records of maintenance activities, including work orders, equipment maintenance logs, and inventory of spare parts and supplies.
  • Running & reviewing weekly report of backlog for reactive jobs. Following up with tenants by phone and closing down/reducing volume to ensure we are up to date.
  • Monitor and track maintenance expenses against the budget, identifying costsaving opportunities and ensuring adherence to financial guidelines.
  • Assist in the procurement of maintenance supplies and equipment, including obtaining quotes, issuing purchase orders, and managing inventory levels.
  • Respond to maintenance requests and inquiries from tenants, or other stakeholders, providing timely assistance and resolution.
  • Implement and enforce safety protocols and regulations to ensure a safe working environment for maintenance staff and compliance with regulatory requirements.
  • Continuously identify opportunities for process improvement and optimization in maintenance operations, proposing and implementing solutions as needed.

Requirements:


  • High school diploma or equivalent; associate or bachelor's degree preferred.
  • Proven experience in administrative roles, preferably in a maintenance or facilities management environment.
  • Strong organizational and multitasking skills, with the ability to prioritize tasks and manage time effectively.
  • Excellent communication and interpersonal skills, with the ability to interact professionally with employees, vendors, and other stakeholders.
  • Knowledge of basic maintenance principles and terminology is desirable.
  • Attention to detail and accuracy in recordkeeping and documentation.
  • Ability to work independently with mínimal supervision and as part of a team.
  • Flexibility to adapt to changing priorities and work in a fastpaced environment.
  • Commitment to safety and adherence to regulations and procedures.
  • Willingness to learn and continuously improve skills and knowledge related to maintenance administration.
