Receptionist and admin support assistant-Job description

Grade SC2 (point range 3-4)

Line managed by Head of data, exams and timetabling

Hours 26-38 hours per week. Term time weekdays only plus the school training days

(pro rata).


Summary

To provide a reception service to the school, including operation of switchboard, provision of first aid for students and staff and general administrative tasks.


Specific responsibilities

  • Undertake reception duties, answering routine face-to-face enquiries and signing in visitors.
  • Operate telephone system, answering and forwarding incoming calls and taking messages.
  • Sort and distribute mail; prepare outgoing mail.
  • Organise collection of parcels with courier.
  • Assist with student first aid/welfare duties, looking after sick students, liaising with parents/carers and staff.
  • To keep records of staff signing in and out of school.
  • Undertake typing of routine letters and other documents.
  • Produce lists, information and data as required.
  • Maintain stocks of stationery and medical supplies.
  • Maintain tidy reception area, medical room and stationery cupboard.
