Description

To provide a comprehensive and efficient secretarial service to the consultant Oral and Maxillofacial Surgery team, patients and all other users of the service.

This will involve the co-ordination of typing of clinical correspondence within set time limits and the delegation of duties to secretarial support staff.

Ensure that patients are managed through their pathways, adhering to national waiting time targets.

  • To be the first point of contact for patients, relatives, carers, GPs, GDPs, consultants (internal and external), medical staff, community and nursing staff, administrative staff.
  • To type patient correspondence and accurately maintain records of patient correspondence.
  • Coordination of typing across specialties and delegation of duties to support secretarial staff to meet Trust typing deadlines and any other administrative duties.
  • To maintain an effective investigation tracking system to actively ensure that all outstanding tests are followed up. On receipt of abnormal results, ensure that they are communicated to the relevant person and follow up is arranged.
  • To ensure that patients are managed through their care pathways quickly and efficiently by chasing results and ensuring that outpatient appointments are booked in a timely manner. To escalate any possible breaches to line manager.
  • Using clinic timetables and consultant job plans ensure that all outpatient clinics and operating sessions are monitored and, using this knowledge, ensure efficient and effective use of typing resources.
  • Work closely with other Medical Secretaries to ensure a seamless level of support to all consultants within your area of responsibility.
  • Manage consultant electronic and paper diaries.
  • Distribute agendas, attend clinical service meetings to take, transcribe and distribute minutes.
  • Assist in the training of new or less experienced members of staff.
