We have an exciting opportunity that has arisen in our Lincolnshire team, for a full or part time Medical Reception to join the team and help us continue to deliver outstanding clinical care for our patients.

Purpose of the Role


As a Medical Administrator, you would be responsible for the smooth running of the clinic administration, to be the main central point of contact for all telephone enquiries from patients and clinic staff.


Our Medical Receptionists will have a friendly and accessible personal manner and be able to deliver an effective administrative service to the clinic.

They will be able to work with the clinic teams to maintain and enhance processes to maximise quality and efficiency.

The role is a key part of this service.


KEY RESPONSIBILITIES:
Accurate recording of patient clinic outcomes.

To book patient appointments, ensuring that clinics are full.

To make reminder calls to patients before their appointment is due.


To liaise with GP surgeries to ensure that patient data is correct, to check patient demographics and treatment pathways and to answer any patient queries which may arise.

Management of patient data; ensuring availability, required accuracy and confidentiality.

Action all clinic cancellations accordingly as instructed. Take responsibility for reinstating clinics as necessary and rebooking all patients.


Book new and follow up appointment for outpatients and theatre giving patients choice but also adhering to clinical team requirements such as, correct clinic, length of time for follow up.

Ensure that all clinic correspondence is sent out in a timely and accurate manner.

Updating Newmedica's electronic patient records and producing and providing letters to patients.


To manage the data in Newmedica's electronic patient records, adding, importing and archiving data to ensure that they are up to date.


To work closely with colleagues to ensure the smooth flow of patient information between the administration team and the clinic.


To act as the central point of contact for all telephone enquiries from patients and clinic staff, resolving or escalating issues as appropriate.


To act as the principal point of contact for all clinic-related administrative tasks, ensuring that templates are correct, and processes are followed.

To undertake other ad-hoc administrative tasks as required to ensure the smooth running of the clinics.

Maintaining a positive relationship with internal or external staff at every interaction.

Maintain a committed approach to continued professional development and clinical governance, including participating in appraisal process.

What skills and experience do I need for the role?


Personal:

  • Experienced medical administrator who can understand and deliver within a complex working environment.
  • Good organisation skills and the ability to multitask.
  • Enjoys working with a range of people and is able to tailor their approach to a diversity of patient needs.
