  • Vacancy ID We are currently recruiting for a temporary Finance Office to work on site at one of our Headington based departments starting early March for approx 12 weeks working 36.5 hrs p/w and paying £14.

72 p/h- Duties:

  • Process expense claims using SAP Concur eExpenses for staff & student expenses and payment request forms.
  • Manage departmental credit card transactions and report to central finance appropriately.
  • Manage archiving of finance documents.
  • Weekly & monthly financial housekeeping, including running reports and responding to any subsequent issues.
  • Responsible for preparing and uploading the monthly adjustment journal for prepayments, accruals, income deferrals & income accruals for the department GL accounts.
  • Adhoc adjustment journals/transfers.
  • Responsible for monitoring some of the department GL accounts and ensuring timely actioning of reclaims/journals where required.
  • Accounts Receivable:
  • Raising invoices to reclaim staff salaries each month from OUHT + any adhoc overtime payments.
  • Quarterly invoicing for CCRF usage and CPET charges.
  • Monthly invoicing for OCMR scan usage
  • Monthly invoicing for AMIIC usage costs
  • Other adhoc invoicing as required.
  • Overseeing requisitions in Oracle Financials and ensuring they comply with University purchasing regulations.
  • Overseeing the entering of delivery notes on Oracle Financials and dealing with queries
  • Overseeing the preparation and processing of invoices for payment in the Oracle Financial system and releasing invoices on hold.
  • Maintain departmental petty cash and process associated journals on Oracle Financials
  • Maintain good working relationships with key suppliers and the University's central finance office.

Essential Criteria

  • Proven experience of working in an administration environment, with an ability to generate high volumes of accurate work, excellent attention to detail, as well as a high level of literacy and numeracy.
  • The ability to work independently, with minimum supervision, and a willingness to resolve situations, as well as knowing when to refer issues to others.
  • Excellent communication with the ability to communicate effectively with people at all levels both in writing and verbally.
  • Confident personality, with demonstrable excellent interpersonal skills and the ability to work effectively and tactfully with a wide range of people,
  • Evidence of a good understanding of Microsoft Word and Excel, as well as knowledge of basic office procedures.
  • Evidence of proactive organisation of own workload with a demonstrable ability to prioritise accordingly to meet competing deadlines.
