Role

We are seeking cover for an Executive Leadership Team Admin Support to provide secreterial and senior admin support to in a local college.


To provide efficient and effective administrative and secretarial support to Executive Leadership Team members and the Clerk to the board of Govenors.

This is a part time position 18 hours per week.

The hourly rate for this post is £12.01 per hour

Start Date: 24th October 2023 and the end Date: 21st December 2023

Duties and responsibilities
To manage the diaries of Associate Principals as required

To produce termly duty manager rotas for ELT members, including cover calendars
relating to college holidays.

To administer and service meetings of the Curriculum and Student Leadership Group

and the Resources and Services Leadership Group, including the preparation of agendas, circulation of relevant papers, minute taking and production.

To administer and service other relevant meetings associated with the work of Associate Principals, including the preparation of agendas, circulation of relevant
papers, minute taking and production
To provide administrative support to the Associate Principals in terms of record
keeping, as well as preparing and producing high quality correspondence and documentation.


To deal with incoming mail for the Associate Principals, forwarding documentation as appropriate, as well as supporting and monitoring timely follow up responses.

To receive and screen telephone calls to the Associate Principals, re-directing, or
responding as appropriate.

To ensure that visitors for members of the Executive Leadership Team members are
welcomed appropriately and that suitable hospitality is arranged


To deal with stakeholders in a professional and courteous manner and take appropriate actions to channel queries appropriately to them appropriate Associate Principal, or escalating these as necessary.

To provide administrative support to the Associate Principals in relation to student
disciplinary matters and hearings, maintaining appropriate records.

To provide administrative support to the Associate Principals in relation the College's
complaints processes up to the appeals stage and maintaining appropriate records.

To provide administrative support in relation to Admissions Appeals and the the relevant procedures, including necessary correspondence and planning in relation to arrangement of admissions appeals, liaising as appropriate with the relevant Associate Principal and the Principal

To provide secretarial and administrative support for the Clerk to the Corporation to
include the collation, printing and distribution of agendas and papers for meetings
To provide administrative and organisational support for events such as student celebrations, consultation evenings and Prizegiving evening, including taking
appropriate duties at the event.


To upload documentation to the College website and staff intranets, as needed to support the work of the Principal, ELT members or the Clerk to the Corporation.

To update/maintain the college calendar in consultation with the Associate Principal
responsible and in liaison with the Principal's PA and Corporate Services Officer

To minute meetings of the Corporation and/or its committees in the absence of the Clerk to the Corporation

To provide administrative and organisational support for student celebration events
and Consultation Evenings.

To provide administrative and secretarial support to the Old Wyggestonian
Association and the Wyggeston Foundation
To develop and maintain sufficient knowledge of the duties and responsibilities of the
Principal's PA and Corporate Services Officer to be able to ensure effective cover in
the event of absence or unavailability

To provide cover, as may occasionally be required due to absence or unavailability of
other post holders within the corporate services functions, for example attending and
minute taking at meetings for the Principal, ELT and the Corporation events

General
To ensure the adherence to the College's policies and procedures with regard to the
safeguarding of, and promotion of, the welfare of students
Safety
To be responsible for Health and Safety within areas of own responsibility
To participate in the College's policy for Professional Development and Review Notes

EDUCATION & QUALIFICATIONS
A good standard of general education
including English and Maths at GCSE
grade C or above
A levels or equivalent
