Description
To flexibly support the day to day functions of the Operations department. Operational systems, include supply chain management, stock control, transport and continuous improvement of systems.


Provides day to day administrative support to the Operations, Production, and installation teams and to assist in every way in meeting targets within the annual budget of the company.


Essential Duties:

  • To respond to all incoming telephone calls and enquiries promptly and positively in accordance with Quality Assurance and Company standards including personnel backup in whatever reasonable capacity, when necessary
  • Assist in the companies logistics requirements, including purchase orders, checking invoices and organising couriers to ensure the budgeted carriage target is achieved
  • Place purchase orders with approved company suppliers as and when required.
  • Assist in running outstanding purchase order report and ensuring acknowledgements received and updated on the companies software system.
  • Assist in the booking in of supplier deliveries on a daily basis, liaise with Production Managerfor paperwork regarding incoming deliveries
  • Use the complaints / NCR procedure to ensure all NCR's are raised within 48 hours
  • Assist in producing information relating to the above points to be included in the departmental operational monthly report.
  • To assist in every way to maintain the Company's quality standards, ISO9000 and IIP and assist in the auditing functions of the company Q.A. procedure.
  • Accurate inputting of operational processing and checking orders
  • Inputting complaints onto the system as necessary
  • General admin for the department comprising of filing,printing, scanning etc.
  • Support the Operations staff on specific projects and programmes, providing administrative support when possible.

  • Ensure in both actions and words that the customer is all important, without whom we have no business
  • Maintain a high standard of personal appearance and conduct as set out in the staff handbook.
  • Comply with the Company's procedures and policies as laid out in individual Policy Documents, available for reference at all times.
  • Supportasnecessaryallmembersofstaffinachievingthetargetsof performanceagreedfromtimetotimeinaccordancewiththeCompany Quality Assurance and Investors in People standards.
  • Assistinthetraininganddevelopmentofallpersonnelandtosupport management in planning and execution of a personal training plan.
  • To comply with the standards as specified in the Company's Health and Safety Policy
  • Be alert to all forms of dishonesty and pilferage.
Report any breaches of security immediately.
Ensure that the correct security procedures are implemented when the Group's premises are vacated at the close of business.


Relevant Experience:

  • Experience in a business to business environment
  • Purchasing/Supplier management experience

Knowledge and Skills:

  • Attention to Detail
  • Working knowledge of SAP Business One & MRP
  • Organisational Skills
  • Willingness to learn and develop new skills
