Role Summary:

The Business Support Coordinator is a new role that has been created to support our growing company.

The role will provide some much needed administrative assistance to the Executive Assistant, the Senior Management Team and a large commercial team (30+ members).


As this is a new role, we are looking for someone experienced, with plenty of initiative to come in and make this role their own.

Using your excellent relationship building and communication skills, you will work with your stakeholders to alleviate workloads to free them up for the bigger picture items.

As the company continues to grow and there may be scope to grow the Business Support Team further.


Key Responsibilities:

The three main areas of support will involve, but not limited to, the following tasks


The Senior Management Team (SMT):


Supporting the three SMT members:

  • Senior Head of Operations, Senior Head of Technology and Senior Head of Bespoke and New Schemes with:
  • Diary & inbox management
  • Organisation of team meetings and room bookings
  • Arranging meetings with government and other senior stakeholders
  • Assist with the Heads of Team bimonthly meeting and associated trainings/workshops. Taking minutes and actions and logging them our collaborative platform, Confluence.
  • Supporting the SMT so they are prepared for meetings
  • Advising SMT of impending deadlines or other priorities/conflicts
  • Assisting with the onboarding of new starters (intro meetings) and the offboarding of leavers (gifts/ cards)
  • Organise team initiatives/ events
  • Maintaining the Gifts and Hospitality Register

The Commercial delivery side of the business (Scheme Delivery Team) supporting a team of [30+ people] to:

  • Maner duties as may reasonably be required

Supporting the Executive Assistant (EA):

The EA looks after The Senior Leadership Team (SLT) and the Board, and will need support from time to time and cover for when they are away from the office

  • Diary management for SLT
  • Admin for the fortnightly SLT Committee meeting organising the agenda, collating the papers and scheduling presentation spots
  • Working closely with the Company Secretary to ensure admin is kept on top of for Board meetings and subcommittee meetings and that all deadlines are met
  • Gatekeeper for communications with the Non-Executive Board members
  • Helping with the organisation of the company annual away day

Skills Knowledge and Expertise:


  • At least 2 years' experience in a supporting and coordinating multiple teams including diary management
  • Able to manage a large team of stakeholders with competing priorities in a calm and efficient manner
  • Able to work independently, ability to work and communicate with a wide variety of stakeholders and the ability to plan events (e.g. company away day and team activities)
  • A proven track record of providing support and building strong working relationships internally and externally, at all levels
  • Excellent IT Skills including Office 365 (Excel, Word, and PowerPoint)
