Band 5 - £14.92/hr plus accrued holiday pay

37.5 hours per week - Monday-Friday

Based within Capital Estates & Facilities at Harrop House, Prestwich

Some travelling may be required within the Trust - Expenses payable

Temporary role until the end of March 2023

GMMH are looking for a full time
Programme Support Officer to assist in driving the delivery of a large and complex trust wide transformation programme which delivers the department's business plan and contracts.


The role


The purpose of this role is to take overall responsibility for the provision of comprehensive, efficient, and high-quality project/ programme and general administration services to support the delivery of transformational change, including the facilitation, support, and monitoring services.


The role will maintain timely and accurate outputs for all work, including the production of papers and reports for meetings, and will act as a point of escalation for identified risks and issues, ensuring they are escalated through the correct process and to the right escalation point.


Main Duties & Responsibilities

  • Maintain high standards of performance and behaviour and a culture of openness, transparency, responsiveness, efficiency, and customerfocused service.
  • Participate in relevant policies and procedures review, at least, an annual basis or earlier if required.
  • Deputise as directed.
  • Support all aspects of project and programme management, including updating and maintenance of project plans and other documentation for approval through the programme governance
  • Ensure compliance to project control and governance mechanisms identifying any gaps where applicable.
  • To undertake specific tasks and projects relating to the development of tenders and business opportunities
  • To work closely with Capital Estates and Facilities Leads to develop the admin services ensuring consistency across various work streams and business continuity.
  • To produce regular and adhoc reporting of the business plan and its associated programmes, including action logs, minutes and the CEF performance dashboard which will be updated regularly.
  • Manage and prioritise all incoming and outgoing correspondence; logging appropriately and initiating responses on behalf of senior staff where appropriate and ensuring action required is undertaken within deadlines.
  • Provide event management and coordination for key programme meetings and workshops.
  • Support and provide training to teams across the programme to upload documentation based on the agreed criteria.
  • Manage and coordinate electronic diaries, organising and scheduling appointments to make best use of time management.
  • Undertake adhoc PMO or administrative duties as required to support the programme.
  • Create robust contract performance monitoring reports for a range of contracts covering activity, finance, quality, and other key performance indicators; ensuring these recognise and reflect the individual requirements of each contract and SLA.
  • Support the Business and Compliance Manager with formal discussions with service providers around contractual performance, ensuring contractual queries and variances on performance are appropriately addressed and communicated and positive partnership working is maintained with all key stakeholders.

The person criteria

  • Educated to Degree or equivalent experience in a relevant area.
  • Evidence of continuing professional development.
  • Evidence of specialist knowledge and expertise and experience in project support with a general awareness about project management methodologies and Business/ admin.
  • Extensive experience of operating in a project management/ PMO support role.
  • Experience of working within a change and transformational environment.
  • Working experience of Portfolio, Programme and Project support/ administration services including project planning, document maintenance and reporting writing.
  • Knowledge of a full range of project and general administrative procedures.
  • Knowledge of project management tools and techniques.
  • Experience of working collaboratively across organisational and administrative boundaries.
  • Ability to manage stakeholder groups and balance diplomacy.
  • Able to find ways to remove barriers in a professional manne
