Description

An exciting opportunity has arisen for an enthusiastic individual to join the Surgery and Critical Care Divisional Management team at Sheffield Children's Hospital as a Waiting list co-ordinator.


The appointee would be managed by the Operational Manager for theatres in Surgery & Critical Care and will work closely with the Consultants, Operational Support Managers, other Operational Managers & Performance team.

Having the ability to speak directly to families in a professional manner to arrange the patient's operation dates is essential.


The successful applicant will need to have an excellent knowledge of organisational and information management, good interpersonal skills and be willing to communicate with hospital staff at all levels.

The applicant needs to be motivated to work to tight deadlines and manage competing priorities.

Working Relationships

Communicate with parents/guardians, GP's and other external organisations in relation to enquiries concerning admission dates where on occasion there may be barriers to understanding and/or communication difficulties

The post holder will be required to communicate with and advise internally and externally with the following personnel:

  • Patients, relatives and their significant others
  • Peer group Waiting List Coordinators
  • General Services Management Team
  • All grades of Medical Staff
  • Nursing staff and Modern Matrons
  • General Practitioners
  • Clerical and Administration staff
  • Other NHS Organisations


There is a frequent requirement for the post holder to deal with distressing and/or emotional circumstances when communicating with families in relation to cancelling operation dates or dealing with requests from families making demands for treatment.

Maintenance of waiting lists

  • To be responsible for ensuring all relevant information is accurately recorded on to the Patient Administration and Theatre Systems where attention to detail is essential to:
  • Check and update patient information
  • Register new patients
  • Request and distribute computer print outs
  • Request patient letters
  • Add patients to waiting lists
  • Allocate TCI dates
  • Record 18 week wait clock and treatment status for each patient
  • Check and update Inter Provider Transfer data
  • Ensure all recorded procedure codes are correctly identified and entered on to the Patient Administration System.
  • Collate 'booking forms' on a regular basis and add patients to waiting list ensuring that details recorded are accurate, timely and in line with policy and procedures for the management of waiting lists.
  • Responsible for ensuring appropriate booking processes are utilised to facilitate the admission of patients adding, removing and suspending patients to and from the relevant waiting list where accuracy is essential.
  • Ensure patients found to be unfit for surgery are correctly managed in line with the Trust's Patient Access Policy.
  • Assist the Operational Managers in the administration and monitoring of the waiting lists in accordance with Trust guidelines identifying any potential difficulties in a timely manner.
  • In liaison with the Operational Manager review clinical timetables and amend theatre lists according to clinical availability.
Allocating admission dates

  • Analysis of system generated waiting list to identify patients and liaise closely with consultant medical staff to allocate "tocomein" (TCI) date for patients on their list; ensuring that patients are selected first according to clinical priority and then by length of wait.
  • Routinely run analysis of waiting lists information to ensure that all patients are seen within the required target dates, if not, in conjunction with the Operational Manager, identify the cause and take the appropriate remedial action.
