Responsibilities:
Organisational Support
- Organising meetings/appointments, events, travel, and any other activities, where appropriate
- Is professional and maintains effective communications with clients and Fee Earners
- Maintains uptodate knowledge and understanding of Fee Earners' matters to enable a proactive support service
- Provides excellent service to clients, both internal and external, in a timely and professional manner, always presenting a positive image of the Firm
- Acts as a first point of contact for clients and Fee Earners
- Recognises, respects and honours client confidentiality at all times
- Adopts a proactive approach and works with Fee Earners effectively, to maintain regular file management, ensuring all files are up to date, closed and archived, as appropriate
- Copying, scanning and digital storage of client document
- Data entry and management onto our Case Management Systems
- Makes effective use of the internal and external Document Management Systems
- Assist the Data Analyst in ensuring the maintenance and the integrity of our Systems and
- Assist with weekly/monthly and adhoc reporting schedule and followup where required
- Prepares bills with mínimal supervision, as required by Fee Earners
- Prepares AML documentation and obtains relevant documentation from clients in a timely manner, as required by Fee Earners
- Liaises with credit control and alerting Fee Earners of unpaid bills
- Deals with billing matters as required by Fee Earners
- Makes suggestions for additional training, as required
- Experience in UK Immigration is desirable but not essential
- Previous experience in an admin role is desirable
- Excellent file management and organisational skills
- Excellent accuracy and attention to detail
- Ability to deal with matters confidentially and maintain good relations with clients and staff
- Has excellent timekeeping and prioritises work effectively
- Is flexible, reliable, cooperative and has a professional approach to work
- Works as a positive, friendly, and helpful team player
- Communicates in a positive and constructive manner
- Interacts in good faith and demonstrates effective listening
- Uses initiative and takes a proactive approach to work by regularly seeking ways to improve
- Positively supports and promotes change within the team
