ROLE AND RESPONSIBILITIES
Reporting to the Finance Officer, the Finance Assistant supports the daily financial activities of the Charles Burrell Centre and its subsidiary entities: The Burrell Shop and The Engine Room Café.
These activities include accounts receivable, accounts payable, monthly tenant and sessional hire invoicing, weekly supplier and staff expense payment processing, support the Finance Officer in preparation of monthly reports, and ensure appropriate paperwork is filed as needed.
KEY OBJECTIVES
- Accounts Payable
- Responsible for weekly processing supplier bills through accounting system and submitting to Finance Officer for processing through online banking system. Ensure accounts system is regularly updated, ensuring payments made from online banking are recorded against supplier bills as necessary.
- Accounts Receivable
- Responsible for processing tenant and sessional hire payments against accounting system invoices. Communicating with sessional hirers and tenants on past due accounts as required. As needed provide support to Finance Officer in preparation of invoices during times of heavy workloads.
- Company Credit Cards
- Record credit card transactions from authorised staff receipts and reconcile monthly statements to receipts. Query missing receipts as needed.
- Banking weekly download and synchronisation to accounting system of banking transactions to Charles Burrell Centre and The Engine Room sets of books including categorisation of transactions from bank feeds. Query unrecognised transactions as necessary.
- Monthly financial reporting support the Finance Officer in preparation of financial reports for monthly Board meetings, ensuring accounting transactions through most recent month end are accurately recorded and any errors are reported and corrected as instructed by the Finance Officer.
Qualifications and education requirements
- Accountancy Qualification - AAT/ACCA - or qualification by equivalent experience
- QuickBooks or equivalent software
- At least three years' working in a finance role.
- Experience preparing financial reports, including debtors and creditors aging.
- Experience using computerised accounting software and Microsoft 365
- Supporting the preparation of budgets and other financial reports
- Awareness of legal obligations such as GDPR
- Experience collaborating with multi-disciplinary teams.
