Job overview and responsibilities
To provide administrative support to the Human Resources team and support new hire recruitment activities on an ongoing basis. Support Health & Safety activities, union/works council activities, accident reporting and mandatory training processes as directed. Support the full spectrum of HR functions including recruitment assistance, airport security Identity card verification and issuance.

Providing assistance and guidance to department administration functions on the interpretation of security directives and procedures to assure consistent access for staff to their place of work.

Will also have overall responsibility for the coordination of employee absenteeism monitoring, security vetting, budget administration and general facilities activities.

As directed, responsible for the preparation, recording and implementation of payroll processes.


Recruitment & Selection:

  • Processing recruitment administration activities on behalf of the HR team, front line recruitment activities and follow up including, Advertisement's, resume screening, telephone interview screening, creation of tracking databases, preparation of all letters for interview invites, preemployment medical vetting appointments, conducting reference checks, Criminal Record checks and arrange the necessary General Security Awareness training

Airport Security Administration:

  • Ensure security compliance with airport authorities and airside security passes, ensuring station awareness of all security directives
  • Ensure referencing check agencies comply with internal and department for transport regulations
  • Track new hire identification documents for pass issuance
  • Track and coordinate monthly issuance of 5 year ID renewals, including the processing of Criminal Record checks and ID issuance appointment bookings
  • Complete interactive forms, reinstate parked ID's and complete airside temporary 15 day ID requests

Budget Administration:

  • Process all HR Budget Administration action invoices, track folders, obtain approval and process with Accounts for payment
General Administration

  • Process all exemployee reference, Mortgage, Maternity & Jury Service requests
  • Update departmental employment Law Manuals
  • Collect and distribute office mail, filing, photocopying, check office supplies, and general admin duties on daily basis
  • Track airport employee Car Park passes
  • Update, cancel and replace passes/discs as required
  • Tracking staff Eye care vouchers, recharging departments and reordering vouchers
  • Action employee changes in Managers Toolbox and notifying Accounts/payroll
Employee Absenteeism Administration

  • Provide data analysis and reports for all sickness related information
  • Verify monthly report of unpaid sickness and forward to department heads, process employee deductions with payroll, update sickness accrual log
  • Follow up on all certificates and fit notes
Facilities

  • Weekly testing of firealarm systems and resetting the door system including closing roof smoke vents
  • Monthly checking of all fire extinguishers in the building, label punch checks and recording information in line with fire department regulations
  • Issue and cancel building entry cards when required and set building entry doors to remain closed on public holidays
  • Check office Fuel Supplies and reorder, take delivery of oil and check gauge levels

This position is offered on local terms and conditions. Expatriate assignments and sponsorship for employment visas, even on a time-limited visa status, will not be awarded.

Qualifications:


What's needed to succeed (Minimum Qualifications):

  • Secondary school certificates or equivalent experience
  • Experience in an administration role
  • Good administration and communication skills
  • Proficient in Word and Excel
  • Must be legally authorized to work in United Kingdom for any employer without sponsorship
  • Must be fluent in English (written and spoken)
  • Successful completion of interview required to meet job qualification
  • Reliable, punctual attendance is an essential function of the position
