Description

The primary function will be the responsibility to assist in all the administrative & compliance reporting processes, required to support the compliance & regulatory reporting management of the Facilities, Estates, Property and Capital functions.


The post holder will provide a friendly, efficient, secretarial and assistant service to the CEF department, supporting achievement of local and wider Trust objectives.

Providing a professional service to staff, contractors, and visitors ensuring they are appropriately assisted whether via face to face, telephone or other method.

The post holder will need a flexible approach to work and be able to respond to changing priorities. Excellent secretarial skills are essential.


Due to the nature of this post, there are times when the post holder will be required to work in a flexible manner outside their normal working times.

The post holder is expected to be able to input, manage and analyse large amounts of complex data.

  • Entering monthly returns for the Estates Reporting Information Collation of all the Trust sites (above 500M2)
  • To collate, update and file monthly returns for the Premises Assurance Model for all the Trust sites.
  • To organise, minute, distribute monthly/ contractor meetings for the Facilities & Estates department.
  • To organise, minute, distribute 6 monthly/ annual strategic contractor meetings for the Facilities & Estates Department with senior directors
  • To assist with regular review of the Trust's Estates Terrier as well as ensuring ERIC and PAM's reporting for all the Trust's properties

  • To assist with regulatory compliance documentation / files of nonKCH properties
  • To identify and analyse trends in the ERIC and PAMs and to prepare progress reports to senior managers / directors
  • To provide administrative support on the Patient-Led Assessments of the Care Environment (PLACE) and to support the reporting on a timely manner
  • To support the department's collation of information for CEF's Environmental Management system (ISO 14001)
  • To provide administrative support to the Backlog Coordinator
  • Occasionally helping out with Estates & Facilities Recruitment process
  • To provide administrative support to Sky Visitor the onsite management of contractors
  • To arrange meetings and assist with locally held events or workshops e.g. room bookings, hospitality, and IT equipment.
  • To develop and maintain a good working relationship with all staff and those from external organisations to improve efficiency and flow of information.
  • To supporting the production of presentations using PowerPoint.
  • To correctly prioritise own workload using initiative while working alone and deciding when advice or assistance is needed from the line manager.
  • To prepare and plan for any peaks in workload in discussion with line manager.
