Overview

The PA & Facilities Co-ordinator is a resource managing a number of company-wide activities including Facilities Management, PA/Secretarial support to the Managing Director and managing Reception


Responsibilities:

Building Management

  • Responsible for the maintenance of all sites occupied by the Company

This includes:
a. Management of all facilities related contracts, including the primary maintenance contractor.
b. Responding to employee requests in relation to their working environment and ensuring that any requested repairs are resolved.
c. Liaison with landlords and other tenants (where applicable).

  • Responsibility for the provision of utilities, including working with the procurement team to ensure that competitive pricing is obtained.
  • Responsibility for the planning and allocation of working space and desks

This will include:
a. Space planning.
b. Work area risk assessments.
c. Maintenance of kitchen and other common areas.
d. Management of meeting rooms and all visitor areas.
e. Management of car parking.
f.

Management of the existing off-site storage facility and the recycling of office furniture, planning internal office/relocations and furniture removals for either storage, recycling or disposal.

g. Management of the archive storage provision.

Office Services

  • Providing PA and Office Support to the Managing Director and Senior Management Team
  • Work as part of the receptionist staff, ensuring that there is adequate reception cover during core business hours, planned absences and sickness.
  • Responsibility for the provision of:
a. General stationery and office supplies.
b. Office equipment, such as photocopiers, vending machines etc.

Responsibility for the implementation of Health and Safety recommendations, which will include:
a. Provision of first-aid and fire warden facilities.

b. Electrical safety and compliance testing.

c. Fire safety and compliance testing.

d. Provision of eye safety and works accidents policy.

e. Emergency exits and evacuation procedures.

  • Responsibility of the coordination of the Company's pool cars, which will include the production, implementation and maintainance of an Acceptable Usage policy for all Company Vehicles.
Key Performance Indicator

  • Efficient running of office areas.
  • Reduction in facility related costs.

Qualifications:


EXPERIENCE
Essential

  • Prior experience with office and Facilities Management.
  • Excellent verbal and written communication skills.
  • Experience of managing external contractors.
  • Knowledge of Health & Safety and Fire regulations.
  • Full driving licence.
  • PC Literate (MS Word/Powerpoint/Excel)
  • Effective communication skills
  • Ability to manage projects
  • Work on own initiative
  • Ability to prioritise workload
Desirable

  • Recognised Health and Safety qualification
  • Knowledge and experience booking travel with multiple legs and international sites.
  • PA Experience desirable (diary management, delegations, etc)
