Description

The role will be working as part of the Corporate Administration Support Team to provide a comprehensive administrative/ secretarial service to the senior management team, Exec PAs and named Directors.


To support the Personal Assistants and Executive Assistants, providing cover within the Team and administrative support for data input to NHS systems when required.


As a corporate team, to support the named directors, identified senior management and PA/EA team across the directorates, by providing a professional, comprehensive secretarial, administration, document production and data input service, ensuring confidentiality/sensitivity to the high standards at all times.


Activities could include:


  • Efficient and effective calendar management service and coordination of diaries, as requested.
  • Act as a role model for the executive admin team, being part of a team supporting identified senior executives and ensuring professional standards and adaptable style of communication are demonstrated.
  • Have a basic working knowledge of senior management structures and committees and their portfolios to enable cross cover within the support team.
  • Assist the EA/PAs to collate and coordinate information, and generate reports and formal documents using appropriate software with a high level of accuracy and consistency in presentation.
  • Contribute to the regular Executive Admin Team meetings / planning process and undertake a proactive approach in planning, and be responsible for organising multidisciplinary meetings, conferences and events as required, within own area of responsibility defined within work plan.
  • Contribute to an effective shared information system within the Exec Admin team.
  • Support the data input to Finance and People Management systems and coordinate on behalf of directors, senior managers and EA/PAs.
