Introduction:

We have an exciting opportunity to join our Parliamentary Maintenance Services Team (PMST).

This team serves both the House of Commons and the House of Lords and aims to deliver a comfortable, safe and efficient environment for Members, their staff and the staff of the House to work in; as well as provide a welcoming and functional environment for all visitors to the House of Commons.


The Business and Compliance Team provides support to the Director of Parliamentary Maintenance Services, alongside other PMST managers and their teams.

The main purpose is to provide secretarial and administrative support including diary management, typing of correspondence, preparation of drafts, organising and managing the administration and minute taking at meetings, records management, preparation of monthly reports, answering and making telephone calls to ensure staff to conduct the full scope of their business.


The Role:

This is an exciting opportunity to provide administrative support within PMST.

The post-holder will be solely responsible for taking a proactive approach with regards to diary management, whilst being involved in a range of activities pivotal to the general management of PMST, such as supporting the Management Board, dealing with Freedom of Information requests and Parliamentary Questions, compiling and circulating monthly reports and helping to arrange team events.

  • Responsible for answering customers' queries and taking appropriate actions to improve service. The ability to remain calm under pressure whilst retaining accuracy and attention to detail and recognising issues that require escalation to the line manager.

Experience of:


  • Organising and supporting meetings,
  • Taking minutes
  • Proficiency in using Microsoft software (particularly Outlook and SharePoint)

Understanding of:


  • Data security and records management. Acting as a records officer for PMST will include ensuring correct access permissions are given to documents, ensuring documentation is filed correctly, marking and redacting restricted access information etc.
  • Ability to learn, adopt and teach colleagues of new computer software within PMST. For example the TALS Time Recording System, Planon Building Maintenance system etc.
