Title:
Services Administrator - Full Time, Temp to Perm


Salary:
£26k-30k Per Annum (£12.50-£14.50 Per Hour)


Duties:


  • Managing the Head of Services diary and arranging meetings
  • Overseeing schedules and circulating weekly rotas for pharmacists
  • Making travel arrangements, such as booking trains, taxis, and making hotel reservations
  • Processing monthly credit card expense claims
  • Working with oncall staff to prepare and circulate rotas
  • Assisting all pharmacists with the timely submission and formatting of monthly and quarterly reports for customers
  • Responsible for circulating and recording monthly and quarterly reports for customers, meeting agendas and papers, and tracking action logs
  • Creating diary invites/agendas for monthly team meetings
  • Produce minutes from teams recording and meetings
  • Support the Lead Pharmacists in relation to reminding about actions and progress from the various meetings attended
  • Assisting with the onboarding of new pharmacists by generating new starter induction packs
  • Liaising with the People Team and other departments to ensure completion is recorded
  • Updating and maintaining contact databases on SharePoint
  • Supporting the Head of Services in the organisation of the annual Pharmacy conference, scanning venues, liaising with speakers and all other administrative duties relating to the conference
  • Arranging First Aid and Mandatory training courses requested by customers, coordinate a date with First Aid Training College; share paperwork with customer; maintain records; notify Finance to invoice customer
  • Any adhoc tasks required by management

Requirements:


  • Must be able to start immediately or within a short notice period (1 week)
  • Minimum of 2 years of experience in a similar role
  • Excellent attention to detail, including proof reading skills, with the ability to maintain a high level of accuracy
  • Proficient in SharePoint, Microsoft Outlook, Word, Excel, and Teams
  • Excellent Interpersonal skills
  • Strong organisational skills
  • Proactive and solution focused approach to work
  • Ability to work on own initiative

Hours:
Monday to Friday, 8:30am - 5pm with 30 minutes for lunch

Fully office based - close to station and main bus routes but no parking as central Brighton
