    Job summary

    We are looking to appoint an enthusiastic and hardworking individual to provide an efficient administrative support service to the Virtual wards.

    The successful candidate will assist with the smooth and efficient running of the service, liaising with patients and staff of all levels, including medical staff.     The suitable candidate will manage the daily administration of the patients admitted to the virtual ward service. This includes ensuring that the correct communication is given to patients and clinical staff.

    You will ensure that data & reports are accurate and available as required. Includes assisting the Team Leader in creating presentations to raise awareness of the pathways and flowcharts to ensure processes are clear.

    The candidate will also undertake all aspects of virtual ward kit management, following the correct governance process to ensure all equipment is accounted for. Liaising with third party suppliers to arrange kit collections/deliveries, maintaining a sufficient stock level for the pathways to use as required.

    Job responsibilities

  • To manage the Virtual Ward Referrals mailbox to ensure there is sufficient onboarding cover to support new referrals in the absence of the Team Leader.
  • To ensure that all patient records are maintained accurately on CliniTouch, Systm1, CITO, and any other relevant systems.
  • To maintain efficient office filing systems. Review, update/develop as required.
  • To carry out general office duties including the processing of post efficiently and effectively, to action routine correspondence on receipt and forward to appropriate member of staff for review.
  • To arrange collections of kit from patients and send feedback questionnaires to ensure patient satisfaction and continuous improvement of the services.
  • To ensure kit availability for all Virtual Ward pathways, arranging deliveries/collections with Spirit and individual teams to ensure constant supply.
  • To arrange team meetings when requested, using diary management and organisational skills to accommodate various staff across CMGs and external stakeholders.
  • Be a visible, accessible and credible member of the Virtual Wards Team.
  • Support the team leader with the process of change and new services, demonstrating tenacity, drive, professional integrity, balance and perspective. Motivate all team members, and display a supportive, confident attitude when communicating with all colleagues.

    Qualifications

    Essential

  • 5+ GCSE Grade 4 (C) to include Maths & English
  • Level 3 qualification in relevant subject or equivalent experience
  • Desirable

  • Further relevant courses ie. Business Administration NVQ

  • Experience of carrying out admin tasks such as record keeping, data collation, minute taking and stock taking
