Administrative Assistant / Receptionist


JOB ROLE
Glancy Nicholls Architects are looking for an Administrative Assistant/Receptionist to join our friendly, busy studio in
the Jewellery Quarter. This role is the main point of contact for visitors, clients, and suppliers, by telephone or in
person. They are expected to perform a variety of administration tasks, with the main roles answering and
directing telephone calls, welcoming visitors, and booking/managing the in-house meeting rooms. The successful
excellent literacy, communication, and IT skills.


RESPONSIBILITIES

  • Professionally answering internal/ external telephone calls, directing calls, and taking clear, concise
messages

  • Greeting and assisting visitors in the office
  • Scheduling and coordinating meetings
  • Carrying out administration duties such as filing, typing, copying, binding, scanning, printing
  • Maintaining spreadsheets and filing systems
  • Raising internal and external purchase orders
  • Monitoring stationery levels and ordering office supplies
  • Sorting and distributing the post
  • Processing and maintaining employee holiday records
  • Arranging CPD seminars and training sessions for employees
  • Filing CVs and arranging interviews
  • Filing invoices and processing staff expenses
  • Managing the meeting rooms and preparing ahead of large meetings to ensure the smooth running of

- daily meetings
  • Assist the Office Manager in ad hoc duties such as, booking travel for the management team

KEY SKILLS

  • Excellent literacy and verbal skills
  • Ability to manage workloads and work under pressure
  • Excellent communication skills
  • Excellent attention to detail
  • Excellent organisational skills
  • Exceptional knowledge of Microsoft Office packages such as Outlook, Word, Excel, and PowerPoint
  • Ability to manage sensitive information in a confidential manner**
    NOTES
  • Permanent/full time role
  • Fixed working hours 09:0017:30 Monday to Thursday and 09:0017:00 on Fridays
  • Salary dependent on experience
  • This is a workplace role with no hybrid option
