Executive Assistant to CEO & Events Coordinator
£45-55,000 plus benefits & bonus
Permanent
3 days remote/week
City of London


Main responsibilities:

  • Responsible for supporting the CEO in maintaining and developing internal administrative processes to ensure that company objectives are met.
  • Coordinate internal and external resources to expedite workflow and effective communication.
  • Manage the professional and personal schedule for the CEO including preparing agendas, arranging meetings; calls; travel arrangements etc.
  • Take minutes and draft up meeting notes as required.
  • Coordinate complex and changing schedules for Board meetings and Board members including calendar management to Board and senior executives in conjunction with Company Secretary.
  • Manage, coordinate and arrange Management and Board travel and accommodation for Board, Committee and management meetings throughout Europe and for trips to Kurdistan. Ensure meeting space and dining reservations are in place and have all requirements tofacilitate successful offsite meetings.
  • Provide helpful and accurate information and answer general queries in line with company policy. Carry out research for CEO and prepare reports and presentations.
  • Support CEO's internal communications strategy with direction from Head of Corporate Communications manager.
  • Perform all required administrative duties including general office support; outlook and diary management; contact management; filing; distribution of papers/data/information; budget management etc. as required by CEO.
  • Build and foster relationships between London and Kurdistan offices at all levels.
  • Maintain confidentiality in dealing with all activities and with all materials.
  • Organise executive, management and team events, both internally and externally including logistics, external communication and registration of hospitality as required.
  • Support HR with any ad hoc London office services management including meeting room management; catering and lunches; in conjunction with other administrative staff.
  • Join the Crisis Management team rota agreeing to be available in the case of an incident when scheduled on, attending training on setting up call systems, amending the company website and supporting the team where required.
  • Provide admin cover where required due to absence and ensure cover in place; coordinate own absence with colleagues for the same.
  • Management of Board expenditure via a corporate card/company invoicing procedure, and expense submission for the CEO, both for the company and his other Non-Executive commitments externally.
  • Assist with ad hoc project work as required
