£28,500 per annum, rising to £30,000 after probationary period

36.25 hours per week

Purpose of Post


Sitting within the Senior Management team the Office Manager will undertake a variety of tasks, including both administrative and bookkeeping / finance and payroll related functions.

The post holder will also provide line management to the administrationteam, analyse office systems and procedures, undertake HR duties, assist the Chief Officer to comply with all statutory duties, including health and safety and data protection, undertake general facilities & office management and run and analyse operationaland financial reports.

The finance element of the role accounts for approximately 30% of the working week.

Senior managers are also key holders and are responsible for the opening/closing of the office.

Main Duties include:


Finance

  • Operate and maintain the Charity's bookkeeping and financial management systems
  • Produce accurate and timely quarterly management accounts
  • Ensure that all the charity's accounts and accounting records are properly balanced and submitted for audit
  • Undertake payroll duties, ensuring that payroll is accurate, and records are maintained in accordance with the Charity's and statutory requirement

Administrative

  • Provide secretarial support to the Chief Officer, deputy Chief Officer and the Board of Trustees
  • Review, establish and maintain effective administrative systems across the organisation
  • Assist with the maintenance of policies and procedures
  • Calculate and maintain the record of staff holiday and time sheets in accordance with company procedures
  • General Office Management duties

Performance Reporting

  • Implements systems and processes to produce reports which provide the Chief Officer and Deputy Chief Officer with timely and accurate analysis of activity performance
  • Gather performance data from subcontracted organisations as required
  • Produce activity data, charts, graphs and trend analysis, together with supporting commentary
  • Create and maintain key performance data and analysis which can be used by the Chief Officer and the Board Chair

Line Management

  • Act as line manager to the administration team
  • Assist in the recruitment of, and undertake inductions for new staff
  • Assist in the recruitment of, and undertake inductions for administrative volunteers
  • Provide supervision and support to administrative volunteers

Person Specification for covering letter

  • Experience in budget preparation and forecast updates
  • Understand the importance of and able to follow policies and procedure
  • Previous experience of managing staff (Desirable)
  • Excellent verbal and written communication skills
  • Understanding and commitment to the aims of Citizens Advice and its equality and diversity policies
  • Able to maintain confidentiality and demonstrate integrity and trustworthiness
