International SOS's global centre of excellence for offshore and occupational health is headquartered in Aberdeen.

Led by a team of industry-experienced clinicians, we have substantial expertise in mitigating offshore and occupational health risks as well leading on the health component of any offshore health event or emergency.

Today we support over 140 offshore sites in UKCS, 60 of which are O&G producing assets.


About the role:


  • To provide administrative support to the Travel health centre and the service delivery manager. To ensure the smooth running of the Shipping Project agreement to meet KPIs.
  • To provide cover and support cover for Reception, Projects post and Global expatriation administrators as required.
  • To provide cover for the UKHT admin Role

Key responsibilities:


  • Shipping
  • To manage the BP shipping and trading shoreside recall system in line with the agreed process.
  • To support the BP seafarers booking process for BPMS medicals and OH referrals
  • To scan the shipping medicals to Cority within the agreed KPI.
  • To work with the business and capture the relevant information to develop and provide the Shipping business with quarterly management information reports.
  • Support to Projects and Global Administration
  • To provide administrative support to the Travel Health Centre and Project administrators.
  • To provide cover as required for the Global expatriation administrators and the Projects team.
  • Reception
  • To meet and greet patients, visitors, and staff with their enquiries.
  • To work collaboratively with the service delivery manager and clinical staff to deliver the patient journey.
  • To provide cover and support in busy periods.
  • To provide Chaperone Service as required by Clinician's on site.
  • Ensure all registration of Patients is completed in line with Company Policy.
  • To ensure that patient waiting times are minimised.
Service delivery manager support

  • Set up and assist in the monthly administration team meetings.
  • Support and provide cover within any area of the administrative team.
  • In conjunction with the service delivery manager, implement changes / updates to processes as required and communicate to the team accordingly.
  • General IT enquires.
Business Processes

  • Understand any change in company strategy or process which impacts the team or Patient Journey.
  • Ensure the delivery of the shipping Business Admin support.
  • Ensure all sites operate in accordance with company policies, processes, and SOP's.
  • To ensure all processes and quality audits are completed in accordance with the audit schedule (daily/weekly checks).
Training

  • To complete all mandatory training as required.
To identify with the Senior Receptionist/Team Leader any individual training needs as required.

  • To identify with the Global SPA role for the Global expatriation support with Medfit
  • To identify with the Projects administrator for any individual training needs as required

About you:


  • Proven track record of experience in administrative/support roles.
  • Experience of working in Corporate/Customer facing environment
  • Previous experience working in a similar role within a healthcare setting would be desirable but not essential.
  • Outstanding communication skills to work effectively and dynamically, fostering an environment of team working.
  • Strong critical thinking, analytical and problemsolving skills, reacting quickly to meet challenges whilst exercising calmness under pressure.
  • Highly competent in IT packages, such as Office 365, MS Office, Salesforce etc.
Required Competencies- Strong ability to work under pressure in a team environment, working together to balance workloads and priorities.

  • Excellent organisational skills with strong attention to detail and accuracy.
  • Excellent verbal and written communication skills.
  • Ability to make sound decisions based on assessment and judgment.
  • Ability to coach/ direct others and monitor performance.
  • Discretion when dealing with confidential issues.
  • Strong follow through and completion of assigned tasks.
  • Flexibility can handle a wide variety of responsibilities and take the initiative to manage tasks independently.
  • Team player with ability to share information and knowledge; To represent at client meetings and present information as required.
  • Ability and confidence to work to deadlines and without direct and constant supervision.
Required Work Experience- Minimum of 3 years previous administration role with similar responsibilities.

  • Excellent level of written and verbal communication
  • Good written and spoken English
  • No travel requirements
