Who Does This Role Report Into? Associate Director - Office Buildings


Role Summary / Purpose and Scope
You will provide administrative support to the London Office Buildings team across the portfolio.

You will be dealing with client, tenant and contractor queries in an effective and polite manner, ensuring that a first class service is maintained at all times.

You will be accomplished in preparing reports, office management and administration.


Skills, Knowledge and Values:


Skills (People & Technical)

  • Managing team diaries, arranging internal and external meetings,including organising lunches, travel arrangements and hotels where required
  • Maintaining an efficient electronic filing system by ensuring that the filing of documents is kept up to date, creating new files, scanning and archiving document and saving documents to the shared drive
  • To identify, coordinate and implement projects to improve efficiencies within the team
  • To take responsibility for collating and presenting team data on a regular basis for review with team leaders at team meetings & taking detailed meeting minutes for circulation.
  • Answering the telephone in a courteous and helpful manner including overflow calls from reception and assisting with Client, Tenant and Contractor queries where possible.
  • Editing of reports and documents ready for client issue
  • Preparing Client Reports
  • Preparing and issuing service charge budget and reconciliation packs within required timescales

Experience and Salary:


Level of Experience / Certifications:


  • Experience in a similar role

Working Hours:9am - 5.30pm Monday - Thursday & 9am - 5pm Fridays***
Salary Range (Based on Experience)
£28,000 - £32,000 per annum, depending on experience.
