Job summary:


The Property and Security Team are a small team who work closely together to successfully manage a range of different streams of work.

It is a multi-disciplinary, multi-site team with a focus on delivering at pace, strong stakeholder engagement, and an ability to turn the Department's vision into practice.

The Department's property portfolio currently numbers 22 offices in the United Kingdom and Northern Ireland. The Department has embarked on an ambitious programme of estates rationalisation and modernisation. You will play a key part in maintaining a high-quality working environment for our staff.


Job description:

The individual will work closely with the team to provide support and to deliver a quality support service.

This will involve working with stakeholders at all levels from across the department and across the department, providing a unique perspective on the department, and how things work.


Delivering a first-rate service will require you to balance long-term planning and the management of immediate needs, giving the successful applicant an opportunity to build a proven track record in administration, strategic thinking and problem-solving.

Responsibilities

The main responsibilities of the post are:

  • Supporting the Deputy Director in managing their inbox and diary.
  • Providing support on areas of the Deputy Director's portfolio which could include submissions and correspondence, preparing briefings and team engagement.
  • Deliver administrative support to the Estates team by attending relevant meetings (which require appropriate Estates team representation) and take minutes and make administrative arrangements (booking meeting rooms, diary management support and so on).
  • Monitor, manage and update the Estates team internal Intranet pages.
  • The post holder can expect to take up ad hoc tasks, as and when required.
  • Supporting in the delivery of monthly performance packs and other returns.

Person specification:


  • You will be a highly motivated, proactive individual with strong interpersonal skills and be a good organiser/administrator.
  • Excellent customer service skills, able to forge strong relationships internally and externally.
  • Ability to multitask by managing a variety of different priorities concurrently and monitoring progress of these workstreams.
  • Ability to work successfully to tight deadlines and demanding quality standards.
  • Excellent written and verbal communication with an ability to influence at all levels of seniority.
  • Working collaboratively by sharing information appropriately and building supportive, trusting and professional relationships challenging stakeholders.
  • Strong commitment to diversity and inclusion, looking to set a culture which enables all team members to deliver to their best.

Desirable Experience

  • Proven experience of supporting facilities management operations.
  • Experience of working in a fastpaced and pressurised environment.
  • Experience of facilities and project management issues, practices, methodologies, tools and techniques particularly in an office environment.
