  • To provide administrative support to the clinical team
  • To cover reception on a rota basis
  • Take delivery of supplies and deal with accordingly, follow the cold chain procedure for vaccine deliveries and take responsibility for any other deliveries as required
  • To have knowledge of OH procedures and protocols
  • To answer phones in line with company policy and deal with customer queries in a professional and efficient manner
  • Support clinicians with new starter health screening, process outcome forms, book follow up appointments, answer client and customer queries
  • Work alongside colleagues to service enhanced customers with administration duties
  • To work as a team to process clinician reports, answer queries, manage third party report requests, recharge invoices, update Cohort software and ensure data is maintained accurately including the production of related correspondence
  • Handling of medical data and other sensitive personal data appropriately, and maintaining confidentiality
  • Liaise with the wider team, other internal departments and external customers to effectively handle queries and requests
  • Effectively signpost queries, understanding where queries are best directed
  • Investigate queries where possible in order to find a resolution
  • Complete all daily and weekly work tasks to SLAs and KPIs, to ensure clinics can run effectively
  • Ensure work is completed in line with quality standards (SEQOHS, ISO 9001, ISO 27001 and CQC)
  • To maintain Courtesy, professionalism, and high standards of presentation in all communications with customers and potential customers
  • To perform all tasks and duties when required providing flexibility and covering a team working environment
  • All employees are responsible for ensuring the protection of personal data, as such you are required to actively engage with all requests relating to data protection and proactively ensure compliance with GDPR and the DPA when handling any personal, special category or criminal conviction data. You must report data incidents inline with Company Policy. You must understand and comply with obligations under the Company's data protection, information security, GDPR, DPA and FCA regulations and other relevant policies.
  • Operates within defined risk appetite levels, and within the context of the Enterprise Risk Management Framework (ERMF), Risk Strategy, and all associated policies.

Ensure compliance with the company health and safety rules and requirements, ensuring own safety and that of colleagues at all times; raising risks identified immediately and following all health and safety instructions.

At all times, ensure that customers are put first in everything we do, following all policies and procedures, especially those relating to The Consumer Duty
