    Job summary

    This role supports the smooth administration of a variety of education programmes and placements of students into our clinical areas. There will be a need for detailed spreadsheet working as well as supporting report writing with data.

    Key responsibilities include maintaining accurate records, scheduling meetings and training sessions, coordinating communications between different departments, and preparing necessary documentation and reports. The administrator will also monitor program progress, handle inquiries, and contribute to continuous improvement efforts by suggesting and implementing process enhancements.

    Main duties of the job

    The administrator will manage the day-to-day operations of the service, addressing immediate needs and resolving issues using their initiative. When necessary, they will escalate pertinent matters to the Lead Clinical Administrator or the Head of Clinical Education.

    In addition, the administrator will offer comprehensive administrative support for the development and delivery of programs to Learning Environment Leads, Clinical Practice Educators, and the Head of Clinical Education. They must work effectively both as part of a team and independently, ensuring that service targets are met efficiently

    Job responsibilities

    The following are the main responsibilities:

    Administration and organisation of the education curriculum for Health Professions. Administration of Health Professions student placements. Proactively maintaining and developing administrative systems and processes, maximizing the use of technology. Ensuring timeliness, accuracy and integrity of data recorded on paper and electronic systems. Collating, analysing and reporting of performance data and monitoring of education provision and uptake. Presenting complex information succinctly in a range of formats using information technology. Liaising with external providers and trainers. Dealing with telephone and face-to-face enquiries from all staff groups, external providers and 3rd party organisations with a high degree of tact, diplomacy and confidentiality. Maintaining a query logging system that ensures issues can be managed effectively, measured and analysed. Ordering training resources and stationary stock control including ordering to ensure adequate resources are available, raising purchase orders and ensuring the payment process for external trainers are completed. Taking minutes at selected meetings and producing accurate, comprehensive transcription. Using effective time management skills to manage workload independently and as part of the education team to ensure duties are performed efficiently and standards are met. Providing IT support to the team as required. Dealing with the day-to-day demands of the service, troubleshooting problems using initiative and escalating relevant matters to Lead Clinical Administrator or Head of Clinical Education.

    Qualifications

    Essential

  • NVQ Level 3 or equivalent
  • GCSE/O-Level English and Maths Grades A* to C or equivalent
  • Experience

    Essential

  • Experience of clerical and administrative work in a busy office environment
  • Experience of liaising with stakeholders and providing excellent customer service
  • Experience of using Word, Excel, Powerpoint, and Outlook
