OVERVIEW OF THE ROLE
Recruit and manage homestay accommodation, always ensuring a high-quality service. Expand the school's database of homestay providers. Co-ordinate Twin's homestay accommodation considering all the policies and guidelines stated by Twin, English UK and the British Council.

Implement systems and processes to streamline the booking procedures for both internal and external customers and manage the quality of the provision by monitoring and reporting on student feedback.

This role is full time with weekend and evening work expected where necessary.


RESPONSIBILITIES

  • Meet accommodation capacity targets as set by Twin.
  • Continual review and assessment of all homestay accommodation, including new host visits and revisits.
  • Manage the data in one central system (Class) giving access to all interested parties.
  • Place Twin students with homestay providers and ensure students receive accommodation details within agreed deadlines.
  • Review and introduce all current documentation to ensure all details are clear and concise and of a professional appearance.
  • Be the main contact person for enquiries and dissemination of information about student arrivals, departures, dietary and medical information.
  • Attend training to develop relevant knowledge and skills.
  • Flexibility of standard working hours may be necessary in peak operating periods.
  • Ensure agents provide sharing preferences and update the database.
  • Provide accurate information for homestay payments.
  • Produce accommodation lists for the welcome packs.
  • Write pen portraits for all hosts, including shorten versions for group bookings.
  • Ensure reserve hosts are available each weekend in case of emergencies.
  • Participate in evening and weekend meet and greet duties for group arrivals and departures.
  • Greet and deal with all Twin Clients in reception including those attending Twin Employment & Training (TET) courses.
  • Work with the TET team to ensure these clients are dealt with in a professional and timely manner.
  • Keep clear records of any complaints received and action taken from either homestay, students, group leaders, agents, or families.
  • Passing on concerns regarding a student to appropriate members of staff
  • Participate in out of office emergency cover on a rotational basis.
  • Create and implement strategies for recruiting new homestay providers
  • Provide homestay providers with accurate and timely information regarding their students' arrival information, dietary requirements and medical needs if applicable.
  • Ensure that all hosts paperwork is up to date and in line with British Council guidelines.
  • Ensure that all host families are operating within our compliance guidelines.

KNOWLEDGE AND EXPERIENCE

  • Previous experience in an administrative role (essential)
  • Experience of working to targets (essential)
  • Experience of working within an EFL environment (desirable)
