Hanham Health is a forward thinking, innovative and supportive practice with a large and dynamic team supporting our 22,000 patient list.

An opportunity has arisen for enthusiastic and energetic individuals to work within our busy reception team. The role involves face to face contact with patients and inbound call centre contact.

Predominantly based at our Hanham site however cover may also be required at our branch in Oldland Common on occasion.

This is a challenging but rewarding role, suitable for a team player who works well under pressure.

Post holders will need to demonstrate flexibility and adaptability in what can be a rapidly changing environment as well as exceptional customer service skills.


Whilst previous reception experience would be beneficial, the role would suit anyone with customer service/call centre experience who is interested in a move to primary care as full training will be provided.

Tuesday - Off
Wednesday - 8.00am - 1.00pm
Thursday - 2.00pm - 7.00pm
Friday 8.00am - 1.00pm

Monday - Off

Wednesday am - 7.00pm
Thursday am - 7.00pm
Friday 8.00am - 4.00pm

Main duties of the job


Working as part of our Patient Care Co-ordinator Team, you will be involved in all reception duties including appointment bookings, answering queries, handling confidential correspondence as well as assisting our team of GPs.


A large part of the role is helping to 'signpost' our patients to the service that is most suited to their needs.

Using the guidance supplied you will be expected to give appropriate advice to our patients and ensure all protocols are correctly followed.


You will be expected to work in both our back office call answering centre and on the waiting room front desk.


Our Patient Care Coordinators are at the forefront of delivering outstanding patient care by ensuring patients are directed to the most appropriate service or healthcare professional at the most appropriate time.

Working as part of our Patient Care Coordinator team across both of our sites, you will provide general assistance to patients and the Practice team.

You will project a positive and friendly image to all users and visitors, either in person or via the telephone and ensure the highest standards of non-medical patient care are delivered.


Job Responsibilities:
Administration

  • To have a thorough knowledge of all Practice procedures
  • To work in accordance of written protocols
  • Filing of patient notes and update as necessary
  • Processing post and other correspondence efficiently and promptly
  • Fax and photocopy as requested
Reception

  • Receiving patients in the surgery reception and ensuring all enquiries are handled courteously and efficiently
  • Process appointment requests for today and future appointments from patients by telephone and in person using our Active Signposting protocol and principles ensuring all patients receive the most appropriate advice and treatment.
  • Deal with visit requests
  • Ensure computer records are updated accurately.
  • Registrations of new patients computer data entry and medical records.
  • Process patients change of address computer data and medical records (have knowledge of Practice area).
  • Process repeat prescription requests in accordance with Practice guidelines when needed.
  • Have working knowledge of the telephone system and ensure all calls are answered professionally.
  • Communicate effectively with other team members, patients, healthcare professionals and external parties, adapting where needed.
  • Transfer information and messages accurately
  • Provide test results to patients
  • Opening/ Securing of premises where necessary
  • Ensuring patient facing areas are well kept being mindful of customer service standards and accessibility
  • Any other duties as reasonably requested

COVID-19 considerations:
All staff and patients are required to wear face masks and use sanitiser as provided. Perspex screens are in place between desks and installed on the desk in our waiting rooms.
