Some exciting new vacancies have arisen in our Edinburgh office for Assistant Administrators who are keen to learn and looking to develop a career within Anderson Strathern.
You will provide administrative and PA support, working closely with the other PAs within your department and in the wider PA Services Team.
Flexibility is key as there may be a requirement to support other departments within the firm if needed. The tasks you will carry out are included in, but not limited to, the list below.
You may be responsible for:
- Scanning, saving, and distributing incoming mail
- Photocopying, scanning, printing, binding, filing, and archiving
- Supporting the preparation of bulk documentation, files, and bundles
- Using PDF Docs to put legal bundles together, paginating papers, and reducing file sizes
- Helping to maintain our Interaction database
- Providing occasional adhoc cover for reception
- Providing occasional assistance to set up for events/large meetings
- Assisting with finance and billing processes for the Department, including uploading invoices to our finance system (Aderant) and producing bills to be sent to clients.
- Assisting with legal secretarial duties (for which you will be provided with full training), including dictation, creating, formatting and amending documents and completing cashroom forms,
- Assisting with adhoc departmental project
All of the roles have excellent career progression prospects and you will receive training to allow you to assist with legal secretarial duties (including diary management, dictation, formatting and amending documents, raising invoices, and completing Cashroom forms), which will allow you to progress your career towards becoming a Legal PA.
What you will need to succeed:
- Good computer skills including Word, Excel and Outlook (PowerPoint would be helpful but not absolutely necessary)
- Good communication skills with the ability to liaise and work well with partners, fee earners, business support staff, and other PAs
- A commonsense and a methodical approach to work
- Good presentation skills with an eye for detail
- The ability to act professionally and be a representative for the firm at all times
- Enthusiasm, commitment, flexibility and a willingness to learn new skills
- Good numeracy skills
- A genuine desire to develop a Legal PA career
