Part Time Clerical Officer

A well-established organisation based in Belfast, are currently seeking an experienced Clerical Officer to join their team.
This is a full-time, Temporary position initially for 9-12 months (potential to be made permanent) - to start immediately.

Working hours:
Monday - Friday: 9am-1.30pm (can be flexible)

Hybrid:
Must attend the office at least 3 days per week

With an hourly rate of £11.66 per hour


Job Purpose:


To provide a support service to the Managing Authority Team to ensure that an efficient administration function is developed and maintained at all times.


Essential Criteria:


  • 5 GCSEs grades A-C (including English Language and Maths) or equivalent or Leaving Certificate (Standard/Ordinary level) 5 grades A-C (including English Language and Maths)
  • Experience in MS Office (Word, Powerpoint & Excel) in a business context.
  • A good standard of written English
  • Experience of providing customer service.
  • Previous experience in dealing with issues on a confidential basis
  • Previous experience in working with a team
  • Experience in assisting with administrative work place issues
  • The ability to plan and organise workload to meet standards and deadlines and contribute to the efficient use of resources.
  • The ability to make optimum use of the IT system.
  • The ability to contribute as an effective team member and to support other members.
  • The ability to interpret financial data and make appropriate recommendations.
  • The ability to liaise with staff at all levels.
  • The ability to deliver services to meet required standards of quality.
  • The ability to provide information to meet customer needs.

Main Duties and Responsibilities:


  • Sampling of projects to include detailed reports. (Training will be provided)
  • Data input and manipulation using Microsoft Office and other programmes
  • Creation and maintenance of communication trackers including events, case studies, press releases and communications assessments as required by MA
  • Provision of assistance to the MA Manager and Officers in relation to general administrative duties this may include meeting organisation, procurement of venues, travel, hotels, as well as handling registrations, assembling content i.e. name badges/ presentations,and event evaluation.
  • Assistance with report writing, including the reports for the PEACE IV, INTERREG VA and PEACEPLUS Programmes.
  • Produce reports, papers, proposals, letters, and other documents using Word, Excel or Powerpoint, as required.
  • Preparation of draft slides for presentations.
  • Deal effectively with routine telephone queries, including those from funded projects.
  • Provide telephone cover in the absence of the MA team.
  • Assisting in the preparation, issue and receipt of tenders and maintenance of associated files
  • Assist the Managing Authority Officer with carrying out the duties of the Body.
  • General office administration including filing, photocopying, faxing, scanning and clerical work.
  • Other ad hoc duties.
