We are constructing a state-of-the-art underground mine to enable the extraction of Polyhalite - a unique multi-nutrient fertiliser - along with the necessary infrastructure both above and below ground that will be required for transport, processing, and distribution.
Join us as our Facilities Administrator where you will be responsible for the facilities management service delivery through day-to-day administrative duties.
You will support the Facilities Officer in the coordination of building users, visitors, and contractors to buildings/properties within the Facilities Management portfolio.
Key accountabilities
- Assist the Facilities Officer with the gathering, collating and management of FM related information, data, and documentation. Particularly in relation to building maintenance defects, contractor site attendance, frequency, and performance.
- Coordinate and support local site requests for FM services.
- Undertake inspections of the facilities to maintain high standards of housekeeping.
- Raise works requests with the contracted FM service provider for Pre-Planned and Reactive maintenance requirements in line with Anglo American supply chain processes and policies.
- Support the Facilities coordinator in the management of visiting contractors and subcontractors delivering works on behalf of the FM department.
- Administrate the induction process for team members and visitors onto site through the Anglo American system and policy.
- Provide local support to other departmental service providers (e.g. HR team, Security team, Communications team, Executive Administrators, etc.).
- Coordinate incoming calls and enquiries to the FM team.
- Manage site post and the receipt of deliveries.
- Provide administrative services locally (e.g. maintaining stationary stocks, ordering furniture, coordinating multiple visitors and meetings).
- Take minutes and provide administrative support to the FM team as required.
Experience & Qualifications
- Experience in a corporate facilities environment
- High level of administrative experience
- Experience of corporate front of house environment
- Experience of working with colleagues and visitors at all levels in business
- Microsoft packages, specifically Word, Outlook, and Excel
- Time management, ability to prioritize and multitask.
- Excellent verbal and written communication, with high attention to detail
- Strong interpersonal and communications skills
- Ability to work to deadlines with mínimal supervision.
- Excellent communication skills
- A "can do attitude" and ability/willingness to do what the day requires.
- Familiarity with online room booking systems an advantage
Additional information
- A valid UK/in country driving license is required for this role.
- A clear DBS
- This role will require a company medical assessment in line with the role requirements.
