We are looking for two Team Administrators to join our teams at an organisation making a real difference to women's lives.

About the roles:


Having recently achieved planning permission for 2 new developments which will result in WPH building over 160 new homes for single women in West London, we are creating new roles to support our growth.

The Team Administrator (Property Services) is a new role designed to support the property services team by managing databases, analysing performance, providing accurate statistics, keeping software up to date and managing the Asset Management meetings including setting the agenda and providing minutes.


The Team Administrator (Housing Management) will provide administrative support to our housing officers and managers managing systems and databases, analysing data and trends, and providing administrative support around team meetings including agendas and minutes as well as general administration to support the customer service team.


Key responsibilities will include:
*Being the primary point of contact for updating compliance information, working collaboratively with colleagues, and liaising with residents and contractors to ensure compliance works are completed in line with our customer service and home standards.
*Supporting the property services team to manage the performance of contractors. To assist with the setting up of periodic appraisal meetings to ensure compliance with the Contractors Code of Conduct and to document the outcomes of these meetings.
*To prepare information packs including comprehensive repair histories where necessary to support the satisfactory resolution of insurance claims, complaints, or legal proceedings.
*To be the departmental lead on WPH working groups on IT systems supporting the setting up and testing of property related IT modules (e.g., Asset Management Modules, Plentific, C365) and to assist in the development of the use of new solutions.
*Assisting the Health & Safety and Compliance Officer to deliver the CP12 gas safety compliance programme by contacting residents and through the use of CRM, recording all activity and contacts.
*Provide administrative and facilities support to the Head of Contracts, Compliance and Property services, and the Director of Housing including arranging and minuting meetings and organising events as required.
*Provide administrative support to the Housing Team in all areas of their work including income collection, voids and lettings and resident engagement and anti-social behaviour
*Support rent collection by taking the lead on liaison with the Finance Team to collate accurate and up-to-date electronic information for local authorities and the DWP on rent and service charge increases.
*Create and maintain systems and data relating to voids and ensure data remains accessible and accurate supporting the achievement of related Key Performance Indicators (KPIs)
*Provide data reports to the leadership team as and when needed for board papers and other projects
*Supporting the Customer Services Team including with telephony services, team administration and support in service delivery


About you:


You will already be working in a customer-focused environment or public/social setting and have a track record of providing excellent administrative services, including accurate minute taking, data management and ensuring data integrity.

You will have at least intermediate MS Office skills, particularly Excel, Word and MS Teams and be able to provide data in a way that can be easily understood.

You should understand basic property maintenance and (preferably) health and safety compliance for housing associations.

A good understanding of social housing is preferred but not essential - a great attitude, excellent written skills, respect for our residents and a commitment to supporting a property services team are of greater importance.


To perform well in this role, you'll need:
*Experience in organising and coordinating activities to tight deadlines and within a clear framework.
*Experience in administrative support to others with excellent verbal communication skills and ability to engage professionally across a range of people at all levels within the organisation.
*Experience in delivering high quality customer service, including remaining calm during difficult conversations and being empathetic.
*Able to make decisions within a system of delegations.
