- Assist Exams team during exam period as required
- Respond to telephone and email enquiries in a timely manner
- Update hosts on arrival information
- Keep a record of all hosts enquiring for student bookings.
- Create hosts' profiles on Class
- Send confirmation documents to hosts, students and agents.
- Inform Student Services of any changes to a booking to ensure they change any taxis or transfers.
- Inform hosts of cancellations and postponed students and sending out documents via email or phone.
- Ensure all Gas Safety, DBS Certificates, Fire Safety Risk Assessments and other required certificates are within date and updated.
- Ensure all hosts have carried out Prevent and safeguarding training (if required).
- Regularly update hosts with any new procedures implemented by the college.
- Update both our digital and physical directory of hosts.
- Handle general enquiries
- Ensure the stock for host packs are maintained and order more when needed.
- Ensure office supplies are maintained.
- File, shred and general ad-hoc office duties
- Previous work experience in an administrative role
- Experience in using Microsoft Office systems such as Word, Excel and PowerPoint.
- Experience working within a customer-based role, facing clients and agents.
- Experience with accommodation or residential roles, including knowledge of local area and local government guidelines.
- Able to work independently or part as a team
- Able to work in a fast paced environment, and be able to work under pressure
- Able to liaise well with other departments, and good with problem solving
- Discretion and good understanding of Data Protection.
- Create hosts' profiles on Class
- 5 GCSE grades 9 - 4 or equivalent
