DEPARTMENT DESCRIPTION


The Commissioning department is responsible for selecting and shaping the content we distribute across both our linear channels and our digital platforms.

We do this through a mixture of commissioning and acquiring shows and films, as well as news and sports coverage.


  • This role will involve working across each of the different genre teams within the department to provide covering support where needed whether this be diary management, viewing and certifying programmes, leading on ad hoc projects, or assisting with events.
    JOB PURPOSE


This role will provide support to the various different genre teams across Commissioning, most often to cover other support staff who may be on leave, or to offer assistance during particularly busy periods.


  • The role will include:
  • Diary management normally for up to 4 staff members
  • Administrative support for the team, including travel arrangements, events, and expenses
  • Viewing and certifying programmes to ensure they are suitable for broadcast
  • Support and manage various adhoc projects

KEY RESPONSIBILITIES

NB:
All technical and systems training will be provided as part of the role

This will be a heavily varied role with duties including, but not limited to:

  • Diary management for at least 4 staff members at a time
  • High level administrative support, including travel and accommodation arrangements, handling guests to the office, dealing with general correspondence, sourcing gifts, and expenses filing
  • Project management for various ad hoc tasks, either for the genre teams or for the office of the Chief Content Officer.
  • Coordinating and managing team / departmental events
  • Record any incoming programme ideas and submissions for the team this role is working with, directing them to the correct Commissioning Editor
  • Support Commissioning Editors with any programme administration for newly commissioned ideas, including raising project forms via our internal systems, and coordinate the completion of all subsequent paperwork with the relevant production company
  • Monitor the progress of different programmes once they have been commissioned, and liaise with various departments throughout Commissioning (such as the scheduling teams, press, programme management, marketing, presentation and legal) to alert them of any last minute changes, reversions, or delivery problems.
  • View programmes as required prior to broadcast, and manage all subsequent Editorial/Compliance processes by working with the channel's legal teams
  • Complete the 'Programme Certification' paperwork and Strong Language forms for all programmes that have been viewed, and communicate any Warning/Flagging and Support details to the relevant team members
  • Take minutes in team meetings
  • Keep the genre Bibles up to date logging all new commissions and developments that are managed by the team, and recording any changes
  • Track ratings and performance of programmes as they come in each morning, and distribute as required
  • Working with our Festivals Manager, support the awards entry process when required, and coordinate the completion of any entry forms with the relevant production company
  • Mandatory attendance at regular editorial and compliance training sessions
  • Creating / editing presentation decks using Microsoft Powerpoint

ESSENTIAL EXPERIENCE & SKILLS

Person Specification

  • Must have prior experience in providing 1:1 or 1:2 support and diary management in a previous role
  • Must be comfortable working in a very flexible role, and happy to move in between teams as and when required
  • Experience in project management, and able to deal with several projects at once, prioritising and working efficiently under pressure
  • Demonstrable interest in television and the media
  • Strong MS Office skills
  • Outlook, Word, Excel, and Powerpoint
  • High level of organisational skills and excellent attention to detail
  • Demonstrated experience of handling confidential material
  • Solid experience in a demanding, fast paced environment
  • Able to build and maintain effective working relationships at all levels of seniority, both internally and externally
  • Good communication skills
  • To have and use initiative, but also be able to respond to orders and have a willingness to do whatever is required
  • Ability to prioritise tasks and work effectively without supervision
  • Good interpersonal skills.
  • Ability to be part of a team, work well with others in an openplan department, and deal politely with visitors from other companies
  • Possess a keen attitude and a willingness to learn
