We are working on an exciting opportunity for an experienced Practice Manager to join a small, but growing Engineering firm, who have several offices nationally, to be based in their Shoreditch office.


This company are working on a growing portfolio of award-winning projects across several sectors and disciplines and their benefits package is extremely competitive.


The Practice Manager will be responsible for all aspects of non-technical / non-financial practice management including office administration, systems, marketing, directors PA and HR functions when necessary.

The Practice Manager will work with the seniormanagement team across all offices with support from the administration team.


Duties and key responsibilities / role

ADMINISTRATIVE

  • Overseeing and line managing all functions of the admin team marketing, HR and facilities
  • Reporting at the Senior Leadership Team meeting and contributing to strategic planning and development as a member of the Senior Leadership team
  • Overseeing and managing filing document control, job management and purchasing systems
  • Oversight of GDPR compliance
  • Implementation of new and managing existing company accreditations

FACILITIES MANAGEMENT

  • Managing health and safety, fire and security regulations
  • Coordinating and facilitating office moves
  • Ensuring smooth running of all offices
  • Overseeing office tidiness and visual appearance, cleaning, improvements and environment
  • Negotiating supply, services and equipment contracts
  • Managing subscriptions and memberships
HR

  • High level oversight of HR manager
  • Preparing and communicating practice policies and procedures
  • Oversight of the administration team and workload

MARKETING AND COMMUNICATIONS:

  • High level oversight of marketing and communications strategy and marketing manager.
  • Oversight of social media and websites
  • Oversight of all PR activities including media relations, awards
  • Occasional Copywriting and editing including press releases, project information, practice information
  • Internal communications including developing staff handbooks, sharing knowledge, intranet
  • Oversight of practice brands

BUSINESS DEVELOPMENT:

  • Oversight of business development activities

SKILLS

  • Advanced knowledge of InDesign and MS Office, and ability to pick up new software quickly
  • A degree or equivalent
  • A strong understanding of legal and regulatory aspects of practice management
  • A strong understanding of best practice in marketing, communications and PR
  • Conscientious, responsible and able to maintain confidentiality when needed
  • Effective communication and team working skills
  • An eye for detail and accuracy
  • An interest in, and knowledge of, the architecture and engineering sector
  • A willingness for to be agile, take initiative and to muck in with all office tasks when the need arises.
  • The ability to manage a team
  • Knowledge of procurement or legal processes in the construction industry and in general
  • Commitment to developing professional skills
  • An aptitude for strategic thinking
  • Ability to make decisions and communicate solutions
  • Experience of managing change
